The Sales Administrative Assistant provides high-level administrative support including, but not limited to composing correspondence, reports, research and presentations, sales quotes and proposals, vendor check-ins, project management, as well as scheduling meetings and travel, assisting senior members of the team and sales staff as necessary, data entry, and additional duties as needed in support of the organization.
Additional responsibilities may include:
- Answers phone calls and emails, schedules client conferences and meetings, and supports customers.
- Attracts potential customers by answering product and service questions and providing additional information about products and services.
- Identifies customer needs and assists with needs.
- Builds sustainable relationships and trust with customer accounts through open and interactive communication.
- Collaborates with Account Representatives to support all aspects of their daily work routine.
- Completes a variety of projects to include creating presentations, spreadsheets, reports, and agenda materials.
- Organizes customer presentations and ensures that all materials are prepared prior to deadlines.
- Assists in the development of presentations and white papers for internal and external audiences.
- Attends meetings and takes notes of discussion; prepare minutes and summaries.
- Transcribes source material, prepares documents, reports, tables and charts; distributes as appropriate.
- Updates and maintains customer records in company databases for CRM.
- Maintains paper and electronic filing systems.
- Other additional and/or alternative duties as assigned, including supporting other departments or the Sales Team as needed.
The ideal candidate:
- High School Diploma required. Associate or bachelor’s degree preferred
- Three to five years of related experience in a high-level administrative role.
- Customer service or sales experience preferred
- Combination of education and/or experience may be considered
- Computer proficiency including the ability to create spreadsheets, graphics and reports using standard software applications
- Ability to multi-task, prioritize correspondence and workflow
- Ability to communicate effectively and collaborate with management, vendors, sales/operations staff, support, and warehouse personnel to see through the sales process from conception to completion
- Ability to effectively manage stress and maintain composure in stressful situations
- Ability to resolve difficult or stressful customer service issues
- Possess a proactive approach to problem-solving with strong decision-making skills
- Some analytical ability to gather and summarize data, find solutions to various administrative problems, and prioritize work
- Strong written and oral communication skills to interact with clients, vendors, and co-workers in a professional and helpful manner in person or via phone or written correspondence.
- Must be detail-oriented and well organized
- Flexibility in a fast-paced, quickly changing environment
- Technically savvy; Proven technical ability; proficient in GSuite desired; Office 365 including Excel, PowerPoint, and Word
- Ability to meet deadlines, so a flexible schedule is required
Computer Software: Adobe Acrobat, Quickbase/JIF, Google G-Suite, Microsoft Office to include Word, Outlook, Excel, and PowerPoint.
