Job Description:
Assist the building manager with the day to day operations of the properties.
Responsibilities:
Assist in the preparation of operating budgets for the existing portfolio
- Vendor contract supervision
- Maintenance and repair supervision
- Tenant relations - first point of contact for tenant concerns
- Weekly invoice approval and miscellaneous billing
Duties:
- Supervise service contracts to include, but not limited to, elevators, HVAC, window washers, plumbing, electrical, structural, fire protection, water treatment, emergency generator, security monitoring, waste removal, landscaping, beepers, cell phones, HPI phone system, answering service, extermination, cleaning, snow removal
- Review, approve, and allocate vendor A/P
- Execute preventive maintenance program to ensure proper working condition of operating equipment
- Obtain quotes for and coordinate tenant improvements as needed. Assist with over sight of tenant improvement construction
- Supervise maintenance personnel and outside vendors
- Carry a company issued cell phone at all times
- Participate on the On-Call rotation for emergency and after hour needs
- Provide phone coverage for the receptionist during lunch hours
- Provide input on operating systems for future projects
- Assist receptionist in maintaining electronic key card system and building automated security system
- Assist receptionist in maintain the vendor certificate of insurance files
- Responsible for annual inspections and certifications for elevators and fire protection systems
- Develop and implement emergency procedures and instruct office personnel on how to perform those procedures
- Assure ongoing maintenance and compliance with appropriate codes, regulations and property requirements
- Assist in the interviewing and hiring of maintenance personnel
- Coordinate tenant move-ins and move outs
- Be responsible for over-all appearance of the property and the personnel
- Assist management as needed in construction of new projects
- Responsible for parking control and allocation per lease
- Assist with marketing materials and weekly constant contact
- Design and send out a quarterly tenant newsletter
- Organize tenant events such as the mitten and food drive and annual tenant parties
- Maintain building keys and sign out sheet
- All other duties as may be assigned
Qualifications:
Professionalism and good communication, writing and problem-solving skills
People oriented
Knowledgeable (or desire to learn about) in the operation of HVAC equipment
Knowledgeable (or the desire to learn about) in the operation of energy management systems
Experience in budget preparation preferred
Proficient computer skills – Microsoft Word & Excel
Excellent math and organizational skills
Ability to work flexible hours during peak workloads

Pay: $50,000.00 - $65,000.00 per year
