Job Overview:
We are seeking a detail-oriented and proactive Bi-Lingual Property Management Administrative Coordinator to join our team at a premier 496-unit apartment community in Addison, TX. The Administrative Coordinator will play a vital role in providing administrative support to the property management team, ensuring efficient operations and exceptional resident experiences.
Key Responsibilities:
Front Desk Operations:
- Greet visitors, answer incoming calls, and respond to emails and messages promptly and professionally.
- Direct inquiries and messages to the appropriate team members.
- Schedule tours (if needed) for leasing agents
- Maintain a tidy and welcoming front desk area.
Move-In Coordination:
- Serve as the primary point of contact for prospective residents during the application and leasing process.
- Coordinate rental application verification, including background and credit checks.
- Assist in lease execution and ensure all associated paperwork is completed accurately and in compliance with company policies and legal requirements.
- Conduct resident move-in orientations, providing information about community amenities, policies, and procedures and walking the apartment with the resident at move in.
Lease Renewals:
- Assist in managing lease renewals by communicating with residents in a timely manner.
- Prepare lease renewal spreadsheet with projected rent for Property Manager and Owner review.
- Coordinate lease renewal paperwork and ensure all necessary documents are completed accurately.
- Follow up with residents to encourage timely renewal decisions.
Maintenance Operations Coordination:
- Ensure all service requests throughout the day are printed from the CRM and assigned to the appropriate maintenance team members
- Coordinate with residents regarding scheduling with maintenance to perform the service requests. Contact appropriate personnel for emergency service requests.
- Follow up with residents on completed service requests.
Resident Communication and Follow-Up:
- Maintain regular and timely communication with residents to address inquiries, concerns, and service requests.
- Ensure timely follow-up on resident inquiries and service requests.
- Coordinate communication between residents and the maintenance team to schedule and prioritize service requests.
- Encourage positive Google Reviews
Administrative Support:
- Assist the property management team with various administrative tasks, including filing, data entry, and report generation.
- Prepare and distribute notices to residents as needed, such as lease reminders, community updates, and event announcements.
- Assist in organizing resident events and community activities.
Other Duties:
- Perform additional administrative tasks and support as assigned by the Property Manager or Assistant Property Manager.
Qualifications:
- High school diploma or equivalent required
- Bi-Lingual communication is required
- Previous experience in property management or related field.
- Public relations background required
- Strong organizational and time management skills with the ability to multitask and prioritize tasks effectively.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook)
- Familiarity with Google Suite or similar software for documentation and communication purposes
- Will train on property management software
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Knowledge of Fair Housing laws and regulations preferred.
- Positive attitude, customer service mindset, and ability to work effectively in a team environment.
- Previous experience in an office setting, preferably in an administrative role, real estate administrative position, or similar field
- Proficiency in clerical duties such as data entry, front desk operations, and phone etiquette
- Strong organizational skills with the ability to prioritize tasks effectively

Pay: $19.00 - $21.00 per hour
