Administrative Assistant
Position Overview: The Administrative Assistant at Peninsula Bay Trust Company (“PenBay”) plays an essential role in providing client, administrative, and operational support to PenBay. This role supports the client operations of PenBay. PenBay is looking for a great addition to our team who has a friendly and professional demeanor appropriate for a boutique trust company.
Key Responsibilities:
Administrative Support:
- Assist in managing daily client operations, including handling incoming calls, incoming and outgoing mail and packages, emails, and correspondence.
- Handle scheduling and coordination of meetings, conferences, and appointments.
- Prepare and format documents, reports, and presentations as required.
Data Entry and Records Management:
- Enter, maintain, and organize digital and physical records, ensuring they are easily accessible and well-organized.
- Data transition and assistance with new software.
Support for Meetings and Events:
- Prepare meeting agendas, materials, and take meeting minutes.
- Coordinate logistics for both in-person and virtual events.
- Event preparation with planning, company gifts, and swag organization.
Financial Support:
- Execute trust bill pay operations for clients.
- Input asset information for statement generation.
Miscellaneous Tasks:
- Act as a point of contact for visitors and clients, offering a professional and friendly reception.
Qualifications and Skills:
- Strong organizational skills with the ability to manage multiple tasks and prioritize accordingly.
- Proficiency in office software including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe, and collaborative tools.
- Excellent written and verbal communication skills.
- Outstanding analytical, quantitative, communication, and technical skills.
- Attention to detail and superb quality output.
- Willingness to learn and take on challenges.
- Prior Administrative Experience.
Job Type: Full-time
Pay: $22.00 - $30.00 per hour
Expected hours: 40 per week
