Job summary
The Family Services Coordinator performs a key role in coordinating and maintaining homeowner and/or potential homeowner orientation and application systems, supports the selection of new homeowners as well as programs designed to support families after they have been selected. This position is knowledgeable with HFHI standards of excellence in homeowner selection and about fair housing laws and standards. Must be able to achieve QLO (Qualified Loan Originator) certification at the state and federal levels. Social Services background highly desired. This job description will serve as a guide but as we are a small non-profit willingness and flexibility to engage where needed is important.
Responsibilities
1. Administrative
- Provide staff support to- and manages the documentation of the homebuyer selection process, including all homeowner documents related to mortgages, taxes, and insurance (escrow);
- Serve as the primary point of contact with each homebuyer family through the homebuilding (including home specs selection), the purchase process (closing), and the annual escrow analysis;
- Recruit homeowner applicants in order to fulfill our goal of providing homeownership opportunities, focusing on appropriate number based on building schedule;
- Organize and facilitate homeownership/healthy financial habitats curriculum, classes, and events for applicants, community members, and homebuyer partners;
- Maintain relationships with partner organizations;
- Maintain HFHI, State, and Federal record keeping requirements;
- Process monthly mortgage payments and regularly interface with the families;
- Serve as the primary staff support/liaison to the Family Support Committee;
- Provide monthly reports to the Executive Director;
- Attend all home dedications;
- Prepare for- and lead monthly Family Support Committee meetings;
- Attend monthly staff meetings;
- Other duties as assigned.
2. Program
- Understand and is committed to Habitat’s Christian mission and values and is willing to represent and articulate Habitat’s mission to all potential constituents and supporters;
- Maintain up-to-date knowledge/awareness of Habitat’s standards for homebuyer selection and in national fair housing laws and standards;
- Coordinate application process for potential homeowners: schedule and coordinate potential home buyer orientations; assist in the processing of applications; conduct and assess applicant credit; respond to questions from applicants regarding the status of their applications; ensure well-documented, accurate and up-to-date files for all homebuyers/partner families;
- Participate in the screening and interviewing of potential homebuyers/partner families;
- Manage the preparation of documents needed for closing and selling homes;
- Coordinate home buyer training courses, monitor homebuyer attendance;
- Work closely with partner banks to prepare home buyers for loan application process and closings;
- Participate in regular home visits with all families in their first year of homeownership, as well as facilitating regular contact with Habitat families;
- Coordinates with the Volunteer Coordinator for the home dedication;
- Other duties as assigned.
3. Other
- Communicate and collaborate with the E.D. and other staff regarding issues homeowners raise with Habitat, including construction, home repair, financial, and sweat-equity problems;
- Work with construction team on obtaining appraisals and maintaining home sale deadlines;
- With the Volunteer Coordinator, monitors sweat-equity hours for applicant home buyers;
- With the Development Coordinator, creates/contributes content for Social Media, Website, and the Newsletter as it pertains to our homebuyer/homeowner families;
- Provide assistance in selling homes to families, including attending Codes Covenants & Regulations meetings, closing, lease signing, etc.; and serve as point of contact to homeowners’ associations (if needed);
- Other duties as assigned.
Deliverables include (but are not limited to): Homebuyer/partner application preparation, processing, and follow-up correspondence; document preparation for home closings; monthly reporting; escrow (taxes and insurance) analysis for all partner families; and annual audit document preparation. (Training will be provided.)

- Self-starter, ability to take initiative;
- Computer literate with MS programs,
- Bilingual language skills are beneficial;
- Must be able to successfully pass a criminal background check, drug and alcohol test, and sex offender check;

- Minimum College Degree;
- Willing to work occasional evening and weekend (example: Committee meetings are in the evenings and home dedications ceremonies are on Saturdays);
- Experience using Keystone software a plus;
- Experience with mortgage servicing or lender activities a plus;
- Social Services background highly desired
