Overview:
The Nevada State Apartment Association (NVSAA) is a 501(c)(6) membership trade association serving the rental housing providers and their business partners in the state of Nevada. We are seeking a highly organized and detail-oriented Event Coordinator to join our team. As an Event Coordinator, you will be responsible for planning, organizing, and executing various events. This is a dynamic role that requires an upbeat, positive attitude, excellent multitasking skills and the ability to work in a fast-paced environment.
GENERAL JOB DESCRIPTION
This individual reports directly to the Executive Director (ED) and is responsible for organizing and executing all NVSAA events (“events” refers to all gatherings, meetings, social, formal, and educational events of the association).
DUTIES AND RESPONSIBILITIES
· Serve as the members’ and staff’s resource for all event needs, meeting deadlines, and following NVSAA policies & procedures.
· Present yourself in a professional manner at all times.
· Attend committee meetings and assist volunteer leadership with event planning and execution.
· Create and distribute marketing materials for events.
· Build, maintain, and complete event registration.
· Develop relationships with event venues & vendors, negotiate terms of event contracts, and work with ED to execute contracts.
· Determine all insurance and legal requirements for events and ensure they are met.
· Assist committees with event budget creation and approvals.
· Maintain and produce historical event data.
· Support committee members and event attendees with all aspects of the event.
· Attend all NVSAA events from start to finish, serving as liaison between attendees, volunteers, and venue staff, while providing excellent customer service.
· Ability and willingness to work overtime as needed and previously authorized.
· Communicate all event updates with NVSAA staff and advise ED when assistance is needed.
· Maintain appropriate interpersonal relationships within the association.
· Assist with receptionist duties, answer phone, greet visitors, and refer to the appropriate staff member when necessary.
· Other tasks as assigned by Executive Director.
REQUIRED QUALIFICATIONS
· High school diploma or equivalent.
· Minimum two years experience with event coordination in a professional setting.
· Skilled in delivering top-level customer service.
· Ability and willingness to work cooperatively with others with a positive attitude.
· Proven ability to work under stressful situations and deliver quality work with professionalism.
· Demonstrated written and oral communication proficiency in the English language.
· Demonstrated ability to take direction and thrive in a team atmosphere.
· Efficiency with Microsoft Office software (Word, Excel, PowerPoint)
· Ability to adapt quickly and positively to change.
· Attention to detail and accuracy in all work performed.
· High degree of discretion dealing with confidential information.
· Ability to work independently with minimal supervision.
· Commitment to punctuality and reliable attendance.
PREFERRED QUALIFICATIONS
·Canva and Mailchimp experience a plus.
· Google Drive & Google Calendar efficiency a plus.
· Zoom efficiency a plus.
· Non-profit or Trade Association experience a plus.
