Front Office and Therapy Clinic Coordinator
Overview:
We are seeking a compassionate and organized individual to join our team as a Front Office and Clinic Coordinator for our Therapy Clinic. As a Front Office and Clinic Coordinator, you will play a crucial role in providing exceptional customer service and support to our patients and therapists. You will perform front desk duties in addition to being a primary point of contact for patients, guiding them through the process from initial evaluations to ongoing therapy treatment, ensuring a seamless and positive experience.
Front Desk
· Answer phones
· Follow patient cancellation procedures
· Process schedule changes as needed
· Greet patients and check them in/out for therapy visits
· Create a friendly and positive atmosphere for patients and therapists
· Help with clinic flow, including preparation of rooms
· Take patient photos for clinic social media and website
· Keep the common areas clean and comfortable during clinic hours
Patient Consultations
· Process admission of new patients
· Assist patients in completing necessary paperwork and forms
· Educate parents by phone and in person about the therapy process; this includes what to expect during the initial evaluation
· Work closely with therapists to develop personalized treatment plans for patients based on their needs and goals
Scheduling and Coordination
· Work closely with therapists on staffing of patients
· Schedule and coordinate appointments. This includes initial evaluations, re-evaluations and treatment
· Communicate effectively with patients to ensure they understand their appointment and attendance policy
· Collaborate with Clinician Director and other staff members to optimize scheduling efficiency
Financial Counseling
· Work closely with Accounts Receivable team to provide invoice information and or needed updates on outstanding claims
· Assist parents in understanding the insurance and payment process, if applicable
Patient Support and Communication
· Serve as a compassionate and knowledgeable resource for parents, addressing their questions, concerns and inquiries promptly and professionally
· Maintain open lines of communication with parents throughout their child’s treatment process, providing updates and guidance as needed
· Foster a supportive and empathetic environment to enhance the patient experience
Administrative tasks
· Maintain electronic medical records and ensure documentation accuracy and completeness
· Process reports such as PSOC and Expiry to ensure evaluations are being scheduled and completed in a timely manner
· Make outgoing doctor calls for pending paperwork
· Make outgoing insurance calls for pending authorizations
· Ensure proper completion of patient discharges
· Perform other administrative duties as assigned by management

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. - HS diploma. At least two (2) years' experience in a clinical or a medical office. Previous experience as a Patient Care Coordinator, preferably in pediatrics, is highly desirable.
- Bi-lingual in Spanish is a plus.
- Excellent verbal and written communication skills, with the ability to interact professionally with patients, staff, physicians, and external businesses.
- Exceptional organizational and time management abilities, with a keen eye for detail and the ability to prioritize tasks effectively.
- Proficient in Microsoft Outlook. KANTIME Software knowledge a plus.
- A commitment to providing exceptional patient care and service, with a focus on fostering positive patient experiences and relationships
- Ability to perform tasks involving physical activity which may include lifting, bending, and standing
- Reliability, dependability, good work attendance
WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

This person must be able to clearly and accurately communicate to convey information using the English language, both verbally and in writing. The ability to hear and comprehend dialogue spoken at appropriate “dinner-table conversation” levels, and visual acuity capable of drafting, editing, reviewing, and/or comprehending materials drafted in a standard typeface size 10 font or above, are required. Must be capable of sitting and standing for extended periods of time, as well as be able to intermittently push pull, or lift 20+lbs. of force.
