Position Summary
The purpose of the Assistant Property Manager (APM) position is to assist with the day-to-day functions of the property management department and the functions of the Property Manager to which they are assigned. The focus of the job is to support the Property Manager in all aspects of management pertaining to the property. The APM is the liaison between the tenants and the Property Manager for maintenance and tenant relations.

Essential Responsibilities
· Building positive relationships with prospective and current tenants, team members, outside vendors, and key stake holders.
· Overseeing the timely and successful completion of maintenance requests.
· Showing properties to prospective tenants and answering relevant questions.
· Preparing and executing detailed and legally compliant lease agreements.
· Overseeing all financial procedures including verifying renter income, processing monthly payments, and executing default protocols in relation to collections and evictions processes.
· Drafting and/or making phone calls/emails/texts to tenants related to lease issues and preventative maintenance scheduling.
· Perform all necessary functions to facilitate tenant “Move In” and “Move Out” procedures, while maintaining organized and updated resident files and records, including, but not limited to:
o Informing the tenant of the lease obligations and present them with keys, notifying them as their expiration date approaches and informing them of their obligations upon move out.
o Performing move-outs of units and writing work orders related to turnovers.
· Maintain logs related to:
o Updated maintenance logs,
o Updated preventative maintenance logs,
o Updated key log, and
o Updated tenant accounts, including ledgers.
· Obtaining bids – snow removal, landscaping, rubbish, and maintenance/repairs, if applicable.
· Inspect property conditions and coordinate maintenance activities.
· Manage budgets, accounts, rent collections, and tenant notices.
· Create and distribute marketing materials to attract new tenants.
· Report any problems or issues to the property manager.
Other duties include training, office support and on-call emergency response, if applicable and as assigned. This description is meant to be an outline and is not intended to list all duties and responsibilities.

Qualifications
- Ideal candidate will have at least two years of assistant property management experience (preferred).
- Fair Housing training (preferred).
- Yardi experience (preferred).
- Must have experience associated with administrative duties.
- Must possess a valid driver's license under the laws of the applicable State.
- Ability to develop and maintain effective working relationships with stakeholders, including employees and the general public.
- Ability to speak and write clearly, concisely, and persuasively using correct grammar, spelling, and punctuation with ability to communicate one-on-one or in group settings.
- Ability to perform work with a high degree of accuracy and organization.
- Management skills and strong business acumen, including problem solving, vision, ability to manage multiple programs and meet deadlines, collaboration, leadership, decision making and ability to analyze diverse facts and develop clear and concise reports and recommendations.
- Ability to work cooperatively with others.
- Proficiency in software programs including all Microsoft Office programs.
- Mature professional attitude and considerable discretion, including ability to manage confidential information.
- Ability to perform with considerable independence and initiative.
