- Support the Lower School Director in a variety of administrative tasks to maintain communication with all stakeholders and leadership staff including the creation of the division news, communication of events, and managing the lower school calendar and event
- Maintain calendars and coordinate logistical activities for appointments for the Head of Lower School
- Support and assist in the day-to-day operations of the office of the Lower School Director.
- Maintain secure records of confidential information for staff members and students. Communicate with families and schools of transferring students to provide needed records.
- Organize and prioritize information and calls based on the weekly needs.
- Perform general office duties, such as photocopying, faxing and sending materials out via standard/certified mail, email, etc.

- Manage ordering for the lower school staff and administration.
- Maintain and complete credit card accounting and rectification.
- Manage maintenance requests for the lower school building and events.
- Manage the substitute schedule and find substitutes via the external company if needed.
- Manage the transportation for the entire school, communicating with the external company, school staff, and families.
- Organize field trip dates, payment, and transportation.
- Organizational tasks surrounding carpool numbers, backpack tags, and new student preparation.
- A Bachelor's degree is preferred
- Minimum 5-10 years administrative experience, with at least 5 years at a school.
- Some supervisory experience is also preferred
- Proficiency using computer applications including Microsoft Word, Excel, PowerPoint, Internet Explorer, Outlook email and calendar as well as competence in applications within Microsoft Teams
- Proven planning, organizational and time management skills with demonstrated ability to work independently.
- Flexibility to manage constantly changing priorities and timelines
- Ability to prioritise work and meet deadlines while maintaining composure during high stress.
- Good cross-cultural, interpersonal and communication skills to interact with diverse nationalities and cultures.
- Excellent analytical skills – with the passion and drive to demonstrate and quantify success.
- Results orientated with the ability to consistently map efforts against identified KPIs.
- Excellent time management skills and flexibility in dealing with multi-functional tasks.
