The Project Coordinator plays an integral role in assisting our Project Managers in planning, organizing, and executing various technology implementation projects for our banking clients. Responsibilities include maintaining project documentation, tracking resources, identifying risks, supporting change management, and ensuring project deliverables meet high-quality standards. The Project Coordinator acts as a central point of contact for project stakeholders, facilitating communication and collaboration throughout the project lifecycle. This role requires strong organizational and communication skills to ensure successful project delivery within agreed timelines and budgets. This position is the second step in the project management career path.
ESSENTIAL FUNCTIONS
Knowledge and Skills
- Assists Project Managers in the successful execution of banking technology implementation projects from initiation to closure, ensuring adherence to project timelines, deliverables, and budgets.
- Maintains project documentation, including project plans, meeting minutes, action items, and status reports, ensuring accuracy, completeness, and timely updates.
- Assists in tracking project resources, including personnel, equipment, and materials, and collaborates with relevant teams to ensure availability as per project needs.
- Participates in discovery, testing, and training workshops by customizing materials, participating in workshops, and proofreading deliverables to ensure quality and visual appeal.
- Updates RAID log and statistics.
- Assists with preparation of Playbooks and project closeout activities for project Mock and Go Live activities.
- Assists with forecasting, maintaining schedule and budget.
- Assists the Project Manager with issue resolution, risk mitigation, and decision options as directed.
Problem Solving/Analysis
- Assists in identifying and documenting project risks and issues, escalating them to the Project Manager as appropriate, and supporting the implementation of mitigation strategies.
- Supports change management activities by documenting change requests, coordinating change impact assessments, and assisting in the implementation of approved changes.
- Contributes to the lessons learned process by documenting project successes, challenges, and best practices, facilitating knowledge sharing and continuous improvement.
Business Impact and Scope
- Conducts regular quality checks on project deliverables, ensuring compliance with established standards, methodologies, and client requirements.
- Ensures that all projects are completed on time, within budget, and meet high quality standards.
Communication and Collaboration
- Coordinates project meetings, workshops, and conference calls, including arranging logistics, sending invites, and preparing necessary materials.
- Communicates timing for project deliverables and tracking of action items completion.
- Provides additional administrative and project-related support as required by the Project Manager and project team.

- Acts as a supportive point of contact, under the guidance of the project manager, for project stakeholders, including clients, internal teams, vendors, and external partners, facilitating effective communication and collaboration throughout the project lifecycle.

EDUCATION & EXPERIENCE
Minimum Qualifications
- Bachelor’s degree in Business Administration, Information Technology, or a related field; or equivalent experience in project coordination or a similar role, preferably within the banking or financial services industry.
- Proficiency in Microsoft PowerPoint, Excel, and Word
- Proficiency in Microsoft Dynamics CRM system.
Preferred Qualifications
- Professional certifications such as PMP (Project Management Professional) or CAPM (Certified Associate in Project Management) are a plus.
- Proficiency in project management tools and software (e.g., Microsoft Project, JIRA, or similar).
- Familiarity with banking technology systems, processes, and regulatory requirements is highly desirable.
