The ideal candidate:
· Can be a fast multi-tasker. Able to check people out and/or answer calls in an efficient way.
-Is detail oriented and conscientious especially with tasks related to collections or documentation of notes etc. (Must be able to type).
· Is comfortable on the phone and has a friendly, soothing, professional PHONE VOICE. We are looking for a “people person” to be the face and voice of our practice.
· Leads a healthy lifestyle and is interested in the field of wellness and health. Is comfortable and eager to learn more at seminars and promote the natural products we have in our practice.
· Has a medical, spa, or chiropractic office background (with familiarity with insurance or similar field) and can help us run our office. (This position requires attention to detail and understanding processes especially for insurances, patient flow, etc.)
· Lives within 15 minutes of Bala Cynwyd (ideally 5-10 miles), can keep to agreed-upon schedules, and has their own transportation.
· Is logistical and very ORGANIZED; LOVES organizing
· Is COMPUTER and TECH savvy (MUST have experience with Microsoft Office & Quickbooks (other CRM's a plus)
· Has math, tech, and record keeping skills
· Will be expected to help the doctor set up patients and help with patient flow.
· Enjoys speaking with people in a smooth and pleasant "phone voice" and can correspond with patients using professional, grammatically correct language.
· Must “take responsibility” in your life (i.e. making sure things get done or show up for work rather than making excuses) and can work well as part of a team. We are looking for someone with a positive and winning attitude.
· Enjoys developing systems to create a smooth workflow in the office.
Medical office experience and terminology knowledge a big plus; obtaining and understanding authorizations, performing records requests, using Navinet, verifying insurance, obtaining referrals, following up with deductibles, using an EHR, etc. We are willing to train the right candidate.
Note: Due to changing guidelines, there may be additional protocols to follow in the office (masks are currently not required but may be in the future). Thus, cleanliness, teamwork, attention to detail and willingness to wipe down surfaces & keep office clean is a must.
Responsibilities:
· Over-the-counter collections & co-pays: Collecting co-pays, deductibles, and other payment types for services and products (you should be comfortable asking for payment).
*Helping doctor with completion of documentation and notes to achieve faster filing rates.
· Communicating with patients via phone and in person with a pleasant voice.
· Keeping up to date with technologies, insurance, billing procedures, (using Chirotouch EHR) and office duties. (You should have a propensity for technology/software but we will train you).
.Helping with patient setup (things like setting up hot packs and therapies on patients during busy times).
· Keeping the Doctor organized and creating/streamlining systems to create a smooth workflow in the office.
· Communicating with patients to schedule/confirm appointments and follow up on missed appointments. Part of day-to-day activities will be reactivation of old patients.
· Maintaining a cheerful, pleasant, and supportive attitude towards both patients and Doctor/Staff
· Helping Doctor implement some marketing activities (postcards, videos, IG/FB posts).
· Entering patient intake information into our software
· Managing sales and inventory of health and nutrition products
· Continuing to train on presentation and sales techniques in close coordination with the doctor and communicating options to patients.
· Keeping all paperwork and insurance data organized
· Coordinating with doctor and our insurance team and collection (where they follow up with the third-party biller)
· Verifying insurance and forwarding referrals (we also have an offsite team that helps).
· Answering and returning telephone calls
· Helping with marketing & reactivation duties (eg: exporting databases for patient mailings, etc.).
· Helping with collections of unpaid claims or funds and helping to account for non-payments/collections of receivables with outside billing companies.
· Implementing and complying with any COVID-19 or other measures in the office (we also believe in the freedom to make your own health decisions).
Preferred qualifications (NOT necessary, but a big plus):
· Experience with running an office/business or sales position
· Interest in online marketing, social media, and growing a small business.
· Experience with insurance and claims verification as well as attorney and billing follow up.
· Customer service experience in a medical or chiropractic office
· Experience with event planning
· Experience with Quickbooks
· An interest in nutritional supplements able to promote them
Work Schedule:
· Three days per week: Monday (full day), Wednesday (full day), Friday until 2pm (Tuesday and Thursday afternoons (likely available soon) and will be used for training).
· Regular hours are 9 a.m. – 6 p.m., with a lunch break from 1 – 2 p.m.
· Five to eight hours per day with more hours during busy season
· Tuesday and Thursday(PM) shifts may also become available. We will be training on these days and afternoon shift is usually 2:00-6pm.
Salary:
· Training Salary for two weeks
· Salary will be discussed and negotiated before training begins.

Training salary: 70% of starting salary for two weeks

Other considerations: We are wiping down all tables, asking preliminary symptom questions as needed, temperature checks as needed. (Note that these protocols may change but we currently follow guidelines local hospitals- to be discussed in person).
