Job Title: Executive Assistant to Psychiatrist
Job Summary:We are seeking a highly skilled, detail-oriented, and organized Executive Assistant to provide comprehensive administrative support to a dedicated psychiatrist. The successful candidate will be responsible for managing various administrative tasks, ensuring seamless patient care, and maintaining the psychiatrist's professional and personal schedules. This role requires a high level of discretion, confidentiality, and professionalism.
Key Responsibilities:
Patient Care Support:
- Schedule and confirm patient appointments
- Coordinate patient intake and registration processes
- Ensure accurate and timely documentation of patient records
- Manage prescription refill requests and prior authorizations
Communication and Correspondence:
- Serve as the primary point of contact for patients, families, and healthcare professionals
- Respond to phone calls, emails, and messages in a timely and professional manner
- Prepare and send correspondence, reports, and other documents as needed
Scheduling and Calendar Management:
- Manage the psychiatrist's schedule, including appointments, meetings, and events
- Ensure timely and efficient use of the psychiatrist's time
Administrative Tasks:
- Maintain accurate and up-to-date patient records and files
- Prepare and submit billing and insurance claims
- Perform other administrative duties as required
Confidentiality and Discretion:
- Maintain the highest level of confidentiality and discretion in all aspects of the role
- Handle sensitive and confidential information with professionalism and discretion
*Requirements:*- Education:
- Associate's or bachelor's degree in a related field (e.g., business administration, healthcare administration)
- Experience: - 2+ years of experience as an Executive Assistant or in a related field (e.g., medical office administration, healthcare management)
- Skills: - Excellent organizational, communication, and interpersonal skills
- Proficiency in electronic medical records (EMRs) and Microsoft Office
- Strong problem-solving and time management skills
- Ability to maintain confidentiality and handle sensitive information
- Certifications/Licenses: - Certified Medical Administrative Assistant (CMAA) or Certified Executive Assistant (CEA) preferred but not required
