Responsibilities:
Patient Check-In and Check-Out:
- Greet and welcome patients as they arrive at the office.
- Verify patient information and insurance details during check-in.
- Collect co-pays, process payments, and provide receipts.
- Schedule follow-up appointments and provide necessary instructions.
Appointment Scheduling:
- Manage appointment scheduling, cancellations, and rescheduling.
- Ensure that the appointment book is well-organized and up to date.
- Coordinate with medical staff to accommodate urgent appointments.
Phone and Email Communication:
- Answer phone calls promptly and professionally.
- Respond to patient inquiries and provide information about office procedures, services, and insurance.
- Check and respond to emails in a timely manner.
Patient Records Management:
- Maintain patient records and ensure confidentiality.
- Update patient information in the electronic health records system accurately.
- Assist in the retrieval and filing of medical records as needed.
Insurance Verification:
- Verify patient insurance coverage and eligibility.
- Process insurance claims and follow up on any discrepancies or rejections.
- Communicate insurance-related information to patients.
Administrative Support:
- Assist with administrative tasks such as filing, data entry, and report generation.
- Maintain a clean and organized front office area.
- Order and restock office supplies as needed.
Team Collaboration:
- Collaborate effectively with medical staff, nurses, and other office personnel.
- Relay important patient information to the medical team as required.
Compliance and Regulations:
- Stay updated on healthcare regulations and compliance standards.
- Ensure that the office follows all HIPAA regulations regarding patient privacy.
Qualifications:
- Bachelor’s degree preferred
- High school diploma or equivalent; additional education or certification in medical office administration is a plus.
- Preferred experience in a medical office or similar administrative role.
- Proficiency in using electronic health records (EHR) systems and office software (e.g., Microsoft Office Suite).
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy in handling patient records.
- Knowledge of medical terminology and insurance procedures is preferred.
- Customer service-oriented with a professional demeanor.
Working Conditions:
- The role is primarily based in person at a medical office setting.
- The Front Office Person may need to stand, sit, or walk for extended periods and occasionally lift light to moderate objects.
