Accounting Assistant Job Description:
· Responsible for Daily data entry for all phases of accounting for multiple companies including Accounts Receivable or Accounts Payable, Payroll, Inventories, Cost Accounting, Liability and Asset Accounting, Revenue and Expense Recognition and Allocations.
· Responsible for collection and organization of credit card receipts and input into appropriate locations. Assist with reconciling credit card monthly statements.
· Payroll processing, including new employee set-up, ongoing processing, understanding and review of quarterly and annual tax reporting, W-2’s, Organizing and Maintenance of employee files.
· Maintain a knowledge and provide backup for payroll journal entry to ensure accuracy, including Posting inter-company billings across multiple companies.
· Responsible for daily data entry of Accounts Payable, obtaining authorization of payment; scheduling and preparing disbursements.
· Maintain vendor records including W-9, required insurance certificates, proof of Workers Compensation and/or Sole Proprietor Waivers. Annual preparation of 1099 reporting.
· Provide backup and assistance with monthly Reconciliation of bank, cash, prepaid, credit card, and other accounts.
· Provide backup for and assist with Asset and aircraft tracking including locations, insurance, and registrations.
· Track trade names and trademarks for accuracy and renewals
· Maintain current knowledge of organizational policies and procedures, federal and state policies and directives and current account standards. Assist with documentation and distribution of updates to policy manuals.
· Knowledge of employment laws, rules and regulations to ensure company in full compliance.
· Responsibility for maintaining distribution of employee benefit documents and maintain records with respect to payment and withholding of benefits. Assist with annual enrollment process.
Job Requirements:
· 3+ years of experience in bookkeeping, accounting or finance.
· Knowledge and complete proficiency in Microsoft Office and QuickBooks.
· Experience in GL, AR and AP required.
· Background in Human Resources favorable.
· Must have strong written, verbal and presentation skills.
· Bachelor’s Degree in Accounting or Finance a plus, but not required.
