Job Overview
The Committee and Project Manager is responsible for overseeing the operations and activities of various committees within the association, managing projects from inception to completion, and ensuring the successful execution of association initiatives. This role requires strong organizational, communication, and leadership skills to effectively coordinate between committees, staff, and stakeholders.
Key Responsibilities
Committee Management:
- Serve as the primary liaison between committees and the association’s leadership.
- Coordinate and schedule committee meetings, prepare agendas, and distribute minutes.
- Ensure committee activities align with the association’s goals and strategic plan.
- Support committee chairs in the development and implementation of their work plans.
- Track and report on committee progress and performance.
Project Management:
- Plan, execute, and oversee projects to ensure they are completed on time, within scope, and within budget.
- Develop project plans, including defining project goals, tasks, resource requirements, and timelines.
- Coordinate internal resources and third parties/vendors for the flawless execution of projects.
- Monitor and report on the progress of projects to all stakeholders.
- Manage changes to the project scope, project schedule, and project costs using appropriate verification techniques.
Communication and Coordination:
- Facilitate effective communication between committees, the board of directors, staff, and other stakeholders.
- Prepare and present reports, proposals, and updates to the executive director and board.
- Ensure timely dissemination of information and follow-up on action items.
- Promote collaboration and shared decision-making among committees.
Administrative Support:
- Maintain accurate records of committee and project activities, decisions, and outcomes.
- Assist in the development and implementation of association policies and procedures.
- Support the annual planning and budgeting process.
- Perform other duties as assigned by the executive director.
Required Skills
- Excellent oral and written communication skills, including appropriate telephone etiquette, ability to write reports, business correspondence and procedure manuals.
- Proven organizational skills; flexibility; ability to manage multiple projects in conjunction with normal job activities with little supervision.
- Proficiency in Microsoft Office Professional software package, including PowerPoint, Word, Excel and Outlook.
- Must be a self-starter with the ability to work independently or as part of a team, whenever appropriate.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; and ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, diagram or schedule form; and ability to define problems, collect data, establish facts, and draw valid conclusions for non-standardized situations.
- Ability to regularly use hands to finger, handle, or feel and reach with hands and arms; must be physically able to stand, walk, and sit; occasionally climb or balance and stoop, kneel, crouch, or crawl; frequently lift and/or move up to 10 pounds; and occasionally lift and/or move up to 50 pounds.
- Specific vision abilities, including close, distant, color and peripheral vision, depth perception, and ability to adjust focus.
- Honesty, integrity and ability to maintain confidentiality.
- Ability to work flexible hours as required to complete tasks.
- Ability to travel, including by car, train, boat, and air.
Qualifications
- Bachelor’s degree in business administration, management, or a related field or commensurate military experience is preferred.
- Minimum of 3-5 years of experience in project management or committee management, preferably within an association or nonprofit environment.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Proficiency in project management software and Microsoft Office Suite.
- Certification in project management (PMP, CAPM) is a plus.

Work Environment
- This position requires travel up to 10% of the time, to attend meetings and conferences.
- Typical work hours are daytime Monday through Friday, with some flexibility required/allowed to accommodate committee meetings, conferences, or project deadlines.
- Hybrid work environment with two days each week work from home and three days in the office. Some flexibility allowed.

Pay: $65,000.00 - $75,000.00 per year
