The client is seeking a highly skilled Senior IT Procurement Associate with a detailed understanding of Procurement and Accounts Payable to join our Business Management team. The ideal candidate will be responsible for coordinating and monitoring procurement, accounts payable, and IT business management processes and procedures. This contract position is remote and may have the opportunity to renew starting next fiscal year, July 1, 2025.
- Contract and Invoice Management: Maintain contracts, purchase requisitions, review and approve invoices for payment, and manage procurement files.
- Compliance Review: Ensure agency procurement procedures comply with established reporting requirements.
- Software Procurement: Order and distribute software, and track orders placed via the ServiceDesk ticketing system.
- Contract Tracking: Use databases and Smartsheet to track contracts.
- Documentation Management: Collect and file all required procurement documentation properly.
- Compliance Verification: Verify compliance with agency and statewide contracts using the online system.
- IT Procurement Duties: Review Requests for Responses (RFRs), Quotes (RFQ), and Information (RFI) bids for accuracy and compliance with regulations; post RFRs, RFQs, RFIs, bids, and requisitions; ensure the Procurement Database is current.
- Training and Assistance: Coordinate with Operational Services Division staff for training and technical assistance; maintain procurement-related information.
- Supplier Communication: Explain rules, policies, and procurement procedures to suppliers and their employees.
- Service Desk Monitoring: Evaluate and monitor Service Desk tickets for accuracy and completeness.
- Inquiry Response: Monitor and respond to inquiries and correspondence in mailboxes.
- Technical Assistance: Provide technical assistance and advice to agency personnel and others.
- Support and Special Projects: Act as a support person for the Director of IT Business Management and perform special projects and reports as required.
- Experience: 5+ years of expert-level experience in procurement administration.
- Technical Skills: Proficient in O365, Smartsheet, and databases; ability to learn ServiceDesk ticket systems.
- Procurement Knowledge: Strong understanding of procurement and accounts payable best practices and principles.
- Analytical Skills: Strong analytical skills, capable of utilizing statistical and data analysis to interpret data.
- Communication Skills: Excellent communication skills for effectively conveying information to internal and external teams and stakeholders.
- Attention to Detail: High attention to detail with the ability to identify issues in datasets.
- Business and End-User Understanding: Ability to understand the perspectives of both the business and end-users and apply that understanding to solution proposals.
- IT Proficiency: Proficient in utilizing IT best practices and tools related to business administration and support, implementation, and documentation.
- IT Environment Experience: Experience working in an IT environment.
