We are seeking a detail-oriented and organized Accounts Payable Specialist to join our team. The ideal candidate will be responsible for accurately entering invoices into our management/accounting software, ensuring proper coding based on budgets, and seeking manager approval when necessary. In addition, this role involves scanning, copying, and filing documents as needed to maintain accurate and accessible records.
Flexibility, self-motivation, and a knack for resolving issues diplomatically are crucial attributes. Previous industry experience in property management or community associations and relevant certifications would be advantageous. Proficiency in organizational skills and computer systems is a must, as we leverage cutting-edge management systems and expect you to adapt seamlessly to new technologies.
Responsibilities:
- Accurately enter invoices into management/accounting software, ensuring proper coding based on established budgets
- Process accounts payable invoices and ensure accurate and timely payments
Review and reconcile vendor statements to resolve any discrepancies
- Maintain accurate records of all accounts payable transactions
- Prepare and process journal entries related to accounts payable
- Assist with month-end closing activities, including general ledger reconciliation
- Collaborate with internal departments to resolve any issues or inquiries related to accounts payable
- Ensure compliance with company policies and procedures regarding accounts payable processes
- Scan, copy, and file documents as needed for record-keeping and audit purposes.
- Collaborate with team members to ensure timely and accurate processing of accounts payable transactions.
- Assist with audits and provide necessary documentation as required
Qualifications:
- Ability to work both independently and collaboratively within a team
- Effective time management skills to meet deadlines and prioritize tasks.
- Detail-oriented with a strong focus on accuracy in data entry and documentation
- Previous experience as an Accounts Payable Specialist or in a similar role
- Proficiency in using accounting software
- Strong knowledge of general accounting principles and practices
- Attention to detail and accuracy in data entry and record-keeping
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
- Excellent communication skills, both written and verbal
- Strong analytical and problem-solving skills
