Job Summary:
This position will play a crucial role in ensuring the smooth functioning of the agency by managing administrative tasks, facilitating effective communication, and coordinating executive-level activities.
Duties:
Provide Administrative Support: Ensures efficient coordination and support for Executive Director/ CEO. Maintains the Executive Director agenda, plans appointments, attends meetings and take minutes, handle phone calls, manage correspondence, arrange travel, maintain records, and assists in varies administrative tasks.
Be present at all regular Board meetings. Take accurate notes in Board meetings. Transcribe notes from Board meetings. Maintain complete and accurate minutes of all Board meetings and maintain other records of the Board in accordance with agency requirements. Keep accurate records of Board Members’ attendance at Board meetings. Facilitate the administration of oath or affirmations unless duty is delegated to another person by the Board or by law.
Communication and Coordination: Effectively and timely, relaying messages, scheduling appointments, and maintaining professional correspondence.
Maintain Executive Director/CEO agenda and assist in planning appointments, board meetings and conference. Maintain electronic and paper records ensuring information is organized and accessible.
Conduct research and prepare presentations or report as assigned.
Meeting and Event Coordination: Schedule, prepare agenda, and arrange logistics for executive meetings, conferences, and events, including coordinating with participants, booking venues, and managing necessary resources and briefing documents.
Relationship Management: Foster positive relationships with clients, vendors, and partners, representing the executives professionally and ensuring high level of customer service.
Project Support: Assist with special projects, initiatives, and strategic initiatives as assigned, collaborating with other staff to ensure timely completion and successful outcomes.
Prioritization and Time Management: Effectively manage multiple priorities, deadlines, and requests, anticipating needs and proactively resolving scheduling conflicts.
Job Requirements:
Formal Education
Bachelor’s degree in business administration or equivalent preferred
Experience
5-10 years of executive administrative experience preferred. Excellent verbal and written communication skills.
Supervision
Work requires functioning as a lead worker performing essentially the same work as those directed, and includes overseeing work quality, training, instructing and scheduling work.
Human Collaboration Skills
Work may require providing advice to others outside direct reporting relationships on specific problems or general policies. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.
Freedom to Act
Receives Limited Direction: The employee normally performs the duty assignment according to his or her own judgement, requesting supervisory assistance only when necessary. Special projects are managed with little oversight and assignments may be reviewed upon completion. Performance reviewed annually.
Technical Skills
Skilled: Work requires a comprehensive, practical knowledge of a technical field with use of analytical judgment and decision-making abilities appropriate to the work environment of the organization.
Fiscal Responsibility
In depth knowledge of basic accounting procedures as well as technical vocabulary of Public Housing.
Reading
Intermediate – Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias.
Math
Intermediate – Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/ proportions, and measurements.
Writing
Intermediate – Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech.
Certification &
Other Requirements
Proficient in Microsoft Word, Excel, and Outlook: 5-10 years’ experience preferred. Must possess exceptional time-management and multitasking skills to handle multiple responsibilities efficiently. Must possess intgrity and confidentiality

Pay: $70,000.00 - $75,000.00 per year
