Job Overview:
We are seeking a highly organized and proactive Executive Assistant to support our Chief Executive Officer. The ideal candidate will be detail-oriented, possess excellent communication skills, and have a strong ability to multitask effectively.
Requirements:
-3-5 years experience as an administrative assistant and executive assistant to a board of directors
-Knowledge as it pertains to coordinating a taxing entity board of directors
-Active Texas State Notary, within 3 months of hire.
Responsibilities:
- Manage executive calendars, including scheduling meetings and appointments
- Coordinate travel arrangements and prepare detailed itineraries
- Assist in preparing reports, presentations, and correspondence
- Conduct research and compile data as needed
- Handle incoming and outgoing communications on behalf of executives
- Maintain office organization and filing systems
- Provide administrative support such as data entry, document preparation, and record maintenance
-Coordinate and organize board of directors meetings-including documenting minutes, records, agendas and state requirements
-Act as an election officer for hospital district
-Maintain and coordinate all organizational contracts
-Manage organizational credit lines
Skills:
- Proficiency in phone systems and customer service techniques
- Strong office management skills with the ability to prioritize tasks efficiently
- Excellent proofreading abilities to ensure accuracy in all communications
- Administrative experience with knowledge of clerical duties
- Familiarity with DocuSign for electronic document management
- Calendar management expertise to coordinate schedules effectively
- Data entry proficiency with a keen eye for detail
-Clear understanding of parliamentary procedure
-Familiar with tax rate ordinance
