Job Summary:
We are seeking an experienced Construction Contract/Billing Manager to oversee the daily operations of our office. The ideal candidate will be responsible for managing administrative tasks, ensuring efficient office procedures, contract management, and AIA billing. Construction experience is a must along with construction accounting.
Job duties:
· General office management
o Answer phones
o Manage company phone issues - Secondary
o Approve office personnel vacation requests
o IT Management help desk requests – Secondary
o Manage administrative rights in software – with CFO
o Manage occasional tech upgrades/additions
o Manages the electronic filing of company documents
o Filing insurance claims
o Releasing COIs
o Miscellaneous small projects
o Recruit new hires for office
· Billing duties
o AIA Billing
o Procore billing
o Work with project managers on obtaining billing information for projects
o Answer customers’ billing questions
o Work to find solutions to internal technical and software billing questions
o Manage billing schedule
o Assist with Collections
Skills:
- Proven experience in office management or similar role
- Strong communication skills both written and verbal
- Proficient in Microsoft Office Suite
- Excellent phone etiquette and customer service skills
- Ability to multitask and prioritize tasks effectively
- Strong organizational and time-management skills
- Construction experience is a must along with construction accounting.
- Experience with AIA billing.
