Summary of Functions
As a strategic partner, the Administrative Specialist will align business objectives with employees and management in designated business units. The Admin Specialist will communicate proactively by maintaining a close relationship with their business units. This position performs higher level office support duties and provides specialized support for all departments. This position will support HR and Admin related functions to support business goals and plans their focus on managing the flow of clerical duties such us conducting research, preparing reports, notices, and spreadsheets, presentations, purchases, handling information requests, fulfilling facilities maintenance and administration requests, and maintaining calendars and schedules. Under minimal supervision, this role will perform all duties as needed as well as interacting with suppliers and being a liaison between supply and demand orders.
Principle Responsibilities
- Assists with administrative duties, running errands, arranging meetings.
- Coordinates the pickup and delivery of express mail services.
- Backup receptionist duties such as answering telephones, taking messages, scheduling appointments, handling incoming/outgoing mail.
- Manages, maintains, and keeps record of company vehicles, apartments, and other company assets.
- Arranges, coordinates, and assists with client airport pickups and drop-offs.
- Coordinates with IT on tech equipment for personnel, program implementation, IT issues.
- Assists Safety department with reports, orders, investigations, training, policies, and procedures.
- May negotiate with vendors, manage stockrooms, and distribution and purchase of office supplies.
- Coordinates and directs office services, such as records and budget preparation, personnel, and housekeeping.
- Liaison with suppliers, vendors, and facilities maintenance personnel.
- Assisting in maintaining facilities’ buildings.
- Assists facilities maintenance on purchases, orders, and projects as needed.
- Prepares and updates memos, spreadsheets, reports, and other documents as needed.
- Prepares events, notices, presentations, reports, databases as needed.
- Evaluates, establishes, maintains, and manages training and development needs for assigned business units.
- Coordinates and maintains office and department organization.
- Conducts research.
- Point of contact for all department administrative tasks.
Qualifications
- Associates degree in Business preferred.
- 1+ year of experience in business administration or human resources.
- Industry exposure with manufacturing, production, or related private service organization.
- Experience in Word Office, Excel, PowerPoint.
- Bilingual in English and Korean preferred, Spanish is a plus.
- Customer service experience.
- Must be willing to work in a fast-paced environment, multi-task.
- Ability to learn administrative solutions by collecting and analyzing information.
- Improves employee/department performance by identifying and clarifying problems; evaluating potential solutions; implementing selected solutions.
Physical Requirements
Work is considered low physical work in an office and production setting, requiring the exertion of 50 pounds of force occasionally, up to 25 pounds of force frequently, and up to 10 pounds of force constantly to move objects. Must possess strength, stamina, and mobility to perform low physical work indoors with minimum exposure to dust.
Must be able to:
Walk, lift, reach, stoop, stand, grasp, balance, climb, kneel, and crouch for extended periods of time.
- Regularly required to sit, stand, use hands to handle objects and reach with hands and arms.
- Will spend long hours sitting and using office equipment and computers.
- Some lifting of supplies and materials from time to time.
- Demonstrate the ability to hear and ha specific vision abilities to adjust focus, in an environment subject to noise, dust, etc.
- Perform all work safely in a fast-paced work environment.
- The incumbent is located in a quiet office area and is faced with constant phone interactions and will be in contact with other staff.
