What we are looking for:
The Cosmetic Receptionist is instrumental in providing a variety of support functions that are critical in providing a welcoming experience for our patients, as well as perform daily office duties and maintain efficient workflows during hours of operation. This individual holds a central role in welcoming patients, appointment scheduling, registration, and communications between the client/family and clinical personnel. The Cosmetic Receptionist works to provide a warm welcome to patients, optimize their appointment, resolving issues and adhering to established policies and standard operating procedures.
What you'll do:

Warmly greets, welcomes and registers patients in a timely fashion with superior customer service. Works to minimize and problem solve wait times and reception area issues.

Collects, verifies and documents patient information: demographics, validation of identity, and intake forms.

Explains and collects signatures on documents such as HIPAA privacy statement, consent forms, authorization for treatment and release of information.

Sell, order, track retail products and provide education to patients about products.

Manages incoming phone calls, emails, messages and referrals to completion and in a timely fashion.

Prepares for upcoming visits such as review of next day activities, visit reminders, document preparations, form completion and chart flags.

Processes patients at check-out with duties such as collection of payments same day for cosmetic services rendered, next appointments, patient education hand-outs and instructions, etc. to bring closure to current visit.

Works with the team to assure smooth and efficient client flow and operations. Problem solves obstacles to through-put process to resolve undue backlogs and wait times. Reports and documents unresolved concerns.

Demonstrates accountability for coverage, assigned tasks and time-sensitive delegated tasks.

Completes communication loops to provide feedback and answers to providers, patients, families and external vendors.

Works to create and maintain excellent customer service in patient/family satisfaction, relationships and engagement. Resolves problems in a timely fashion. Documents unresolved issues voiced by patients and refers to the appropriate party for resolution.

Works collaboratively with assigned providers to meet preferences, practice pattern needs and resolution of appointment bumping.

Demonstrates compliance with attendance expectations of assigned shift/hours of work/meal breaks such that coverage is maintained.

Utilizes company computers, E-Systems, electronics and office equipment for intended use only.

Orders, stocks, and maintains a professional workspace and storage areas. Manages supplies and special-order items.

Interested candidates should have/be:

High School Diploma required.

Minimum of 2 years of experience as a cosmetic receptionist highly preferred, but not required in lieu of other customer service or cosmetic experience.

Computer skills highly desired.
Work Environment and Physical Requirements:
Dermatologic cosmetic office and procedure room environments may include exposure to communicable diseases, bloodborne pathogens, biohazards or toxic substances. Daily activities may include standing, walking, sitting, bending and lifting items up to 30 lbs.
