As a national service industry provider, we are seeking a Bilingual Administrative Assistant to join our team at our Palo Alto ,CA location. Support functions require writing, reporting, and strong communication skills. This position requires a high level of customer service skills, interacting with the public and other employees to achieve the essential functions of the job.
Provide administrative support to the entire team, which may involve scheduling meetings, note-taking at meetings, preparing materials, and other various tasks. This position works under the supervision of the Director of Janitorial and Grounds.
JOB RESPONSIBILITIES:
- Manage Data and alert supervisor of any missed QR codes..
- Send New Hire onboarding and resignations updates.
- Update ALL internal documents for the client. Such as complaint log, daily log, daily reports, utility schedule, etc.
- Keep track of all request and schedule accordingly for day and night team. Alert supervisors 2 days prior to an event.
- Keep track of uniform inventory.
- Daily reports
- Update and create duty list
- Update Active employee list
- Assure all scheduled work is closed out with proper documentation on Ehub application.
- Print our documents or create documents needed for A&A supervisor/ staff
- Send access requests for employee
- Ensure all WP Tickets are being acknowledged and closed in a timely manner.
- Must be willing to travel from Palo Alto to Freemont and Lathrop.
Strategies.
- Performs other duties as assigned.
Hours: Full-time with some occasional evenings
Salary: Negotiable
Bi-lingual English/Spanish required
Minimum Requirements:
- Any combination of training and experience which would provide the knowledge and skills and abilities is qualifying.
- Three years of increasingly responsible office support experience, including public contact, detailed report writing, analytical skills, and the full range of technical and advanced administrative duties.
- Associates degree with course work in administrative assistance, office management, general business, or related field.
