We are a private commercial real estate investment firm and looking for an administrative assistant to assist with all aspects of our business. Responsibilities include acting as the main point of contact for the CEO and other team members, answering phones, screening and delivering incoming messages, planning meetings and events, notifying the CEO of important information, coordinating signing of documents, managing office supplies, overseeing schedules and travel arrangements, and completing other administrative tasks as needed to support the team.
Location: Great Neck, NY
Responsibilities:
- Greet clients and vendors upon arrival and direct them to appropriate offices
- Handling incoming and outgoing correspondence and phone calls
- Ordering office supplies and managing stocks
- Taking meeting minutes
- Manage calendars and schedule appointments
- Coordinate travel arrangements and bookings for principal
- Maintain accurate and up-to-date records and files
- Maintain filing and storage systems in the office
- Retrieve documents and files when requested
- Create, edit, and update spreadsheets
- Preparing presentations and documents
- Perform other administrative tasks as needed
Qualifications:
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred
- 2-3 years experience as an executive assistant or administrative assistant
- Excellent communication skills and organizational skills, detail-oriented
- Possesses discernment for working with confidential information and tight deadlines
- Proficiency in Microsoft Office
