WOMEN’S CARE OF ALASKA is seeking an experienced and skilled candidate for the position of OBGYN Medical Receptionist.
RESPONSIBILITIES:
- Answers multi-line phone system, assessing the needs of the caller, scheduling patient appointments, taking messages, or directing the call to appropriate personnel.
- Greets patients upon arrival, checks them into the computer system, provides patients with intake and new patient forms, as well as copies of office policies and legally required documents. Ensures all insurance and contact information is up to date, forms are completely filled out and signed, enters pertinent and detailed contact and billing information into the EHR, and scans paperwork into the patient’s EHR.
- Processes payments from patients for co-pays and uninsured visits.
- Schedules appointments for new and established patients based on Physician and Nurse Practitioner availability.
- Maintains accurate records of patient data.
- Checks out patients after visits, entering in charges and payment information.
- Provides patients with support and guidance as needed.
- Organizes and maintains a DETAILED and ACCURATE appointment schedule, for 8-10 providers, coordinating tasks, messages, and paperwork, and ensuring that insurance eligibility is correct for every patient’s visit each day.
- Discusses and coordinates financial payment arrangements with patients, including the collection of coinsurance and deductible balances, at the time of service or over the phone.
- Prepares and forwards all necessary medical records to the hospitals in a timely fashion.
- Completes special projects, as assigned.
This position is the primary focus of the front desk team. The candidate is the first person a patient will see when they walk into the clinic. This position requires a candidate who can continuously answer phones, multitask and prioritize job duties while scheduling appointments and office procedures, checking patients in and out, collecting copays, posting charges and payments, preparing and gathering medical records for the providers, prepping paperwork for the next day, routing messages to providers with clear follow-up instructions, downloading and transferring electronic faxes into tasks and into patient EHRs, scanning paperwork into the EHR, electronically sending secure records, as well as other clerical duties that are common with this type of position, and is able to do all of this while keeping the cheerful and upbeat attitude necessary for a customer service position.
REQUIREMENTS:
- High School Diploma or equivalent with minimum of 2 years RECENT experience in a medical practice working with Electronic Health Records.
- A solid knowledge of medical terminology, surgical procedures, and current insurance and CMS regulations.
- Experience in an OBGYN setting is preferred, and experience with Intergy EHR a bonus!
- A flexible and positive personality, STRONG organizational habits, and clear, professional verbal communication skills, with the ability to project a pleasant and professional attitude.
- Effective time managements skills, able to multi-task and prioritize job duties appropriately, detail-oriented, demonstrate compassion and care in dealing with others, and be able to handle the stress that is an integral part of any environment with multiple providers and a variety of patients.
- Understand and apply HIPAA regulations, and adhere to office policies and standards.
- Use good judgment and common sense in sensitive situations.
- Able to work independently using sound judgment in sensitive situations.
- A neat and professional appearance and demeanor.
