Job Description:
The Receptionist will be the first point of contact for clients and visitors, representing the firm with professionalism and courtesy. This role is crucial in maintaining the smooth operation of the office, handling a variety of administrative tasks, and ensuring that all interactions reflect our firm's values and commitment to excellence.
Responsibilities:
- Greet and welcome clients and visitors in a friendly and professional manner.
- Answer and direct phone calls, taking messages as necessary.
- Manage the scheduling of conference rooms and appointments.
- Handle incoming and outgoing mail and deliveries.
- Maintain a clean and organized reception area.
- Assist with administrative tasks such as filing, data entry, and document preparation.
- Coordinate with office staff to ensure efficient operation of the office.
- Provide support to attorneys and paralegals as needed.
Qualifications:
- High school diploma or equivalent; additional qualifications in Office Administration are a plus.
- Proven experience as a receptionist, front office representative, or similar role.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills with the ability to multi-task.
- A professional appearance and demeanor.
- Ability to handle sensitive and confidential information with discretion.
