As the Senior Executive Assistant to the CEO, you will play a critical role in facilitating the CEO's effectiveness and efficiency by providing comprehensive administrative support and managing key initiatives on their behalf. The ideal candidate will have 10-15 years of experience in a similar role, preferably within the healthcare industry, possess expert-level abilities in Excel and PowerPoint, and the urge and ability to provide unwavering support to allow the CEO to work efficiently.

Overview of Responsibilities:
Executive Support and Coordination: Serve as the primary point of contact and gatekeeper for the CEO, managing all incoming communications, correspondence, and inquiries with professionalism and discretion. Coordinate and prioritize the CEO's complex and dynamic schedule, including arranging meetings, appointments, travel logistics, and accommodation arrangements. Prepare and edit correspondence, presentations, reports, and other documents with precision and attention to detail, ensuring accuracy and adherence to organizational standards. Anticipate the CEO's needs and proactively address issues and challenges to facilitate smooth operations and optimal productivity. Provide strategic counsel and advice to the CEO on a wide range of issues, including organizational strategy, operations, and decision-making. Act as a liaison between the executive and other members of the organization, as well as external stakeholders. This may involve drafting communications, preparing presentations, and representing the executive in meetings. Conduct research, gather data, and analyze information to support the executive in making informed decisions. Address challenges and obstacles that arise, working collaboratively to find solutions. Assist in the development and implementation of long-term strategic plans for the organization, identifying opportunities for growth and improvement. Review budget progress, including expenses and revenue projections, and provide recommendations for financial management. Review progress, set priorities, and adjust strategies as needed. Identify opportunities for process improvement and efficiency gains, and work with relevant stakeholders to implement changes.
Administrative Management Coordination: Maintain confidential and sensitive information with the utmost discretion and integrity, exercising sound judgment in handling privileged communications and confidential materials. Organize and maintain the CEO's files, records, and documents in an organized and accessible manner, ensuring efficient retrieval and reference as needed. Coordinate and facilitate meetings, conferences, and special events, including logistical arrangements, agenda preparation, and follow-up actions. Support completion of critical tasks with a proactive mindset, accompanied with a hands-on approach to update and create trackers, spreadsheets, meeting agendas, meeting minutes, and managing other daily tasks that facilitate the CEO's ability to effectively lead the company. Coordinate and Host Executive Meeting weekly. Prepare for Quarterly Committee and Board Meetings.
Project Coordination: Manage and support special projects and initiatives on behalf of the CEO, including research, analysis, and coordination of cross-functional teams and stakeholders. Track project milestones, deadlines, and deliverables, providing regular updates and progress reports to the CEO and other key stakeholders as required. Collaborate with internal departments and external partners to ensure alignment and integration of efforts in support of organizational goals and objectives.
Qualifications:
- Bachelor's degree in Business Administration, Healthcare Management, or related field preferred.
- 10-15 years of progressive experience as an executive assistant, preferably in the healthcare industry.
- Expert-level proficiency in Microsoft Excel & PowerPoint, including advanced functions, formulas, and data analysis techniques such as Vlookup, pivot tables, conditional formatting, as well as Power Automate experience.
- Strong organizational skills and the ability to multitask and prioritize effectively in a fast-paced and dynamic environment.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with executives, senior leaders, and external stakeholders.
- Proven track record of maintaining confidentiality and handling sensitive information with discretion and professionalism.
- High level of professionalism, tact, and diplomacy in dealing with executives and senior leaders.
