Position Overview:
The Assistant Property Manager plays a crucial role in supporting the overall management and operations of a property or real estate portfolio. Working closely with the Property Manager, the Assistant Property Manager assists in overseeing various aspects of property management, including tenant relations, maintenance coordination with the maintenance supervisor, financial management, and administrative tasks. Directly reports to the property manager and assists them on any items requested on top of those listed below as needed. This position requires excellent organizational, communication, and problem-solving skills to ensure the smooth functioning of the property and a high level of satisfaction for both tenants and property owners.
Key Responsibilities:
1. Tenant Relations:
- Assist with tenant inquiries, concerns, and requests promptly and professionally.
- Answer all residents' questions by either email or phone call within 24 business hours.
- Coordinate move-ins and move-outs, ensuring a seamless transition for tenants.
- Enforce lease terms and regulations to maintain a positive living/working environment for tenants.
- Foster a great working relationship with residents through providing timely response times, understanding their needs, showing compassion and completing tasks that are brought up.
2. Maintenance and Repairs:
- Coordinate and work with maintenance supervisors for all maintenance and repair requests from tenants.
- Liaise with maintenance staff or contractors and residents to ensure timely resolution of issues.
- Conduct annual property inspections to identify maintenance needs and safety concerns.
- Maintain records of maintenance and repair activities.
3. Financial Management:
- Assist in rent collection and ensure timely payment processing.
- Keep accurate records of financial transactions, including rents received and expenses incurred.
- Assist with budget preparation and adherence to financial goals.
- Post all notices to residents' doors, keep records of those postings and update the posting log.
- Work with residents to create a payment plan if they are delinquent and let the property manager know so they can get the owners approval.
4. Administrative Support:
- Handle general administrative duties, such as filing, record-keeping, and document preparation.
- Make sure that all renewals, SODA’s, and any other administrative tasks that the property manager needs support with are completed in a timely manner.
- Manage and maintain property management software or databases to make sure it is accurate and updated.
- Respond to emails, phone calls, and other inquiries from residents in a professional manner.
5. Compliance and Legal:
- Ensure compliance with local, state, and federal laws and regulations related to property management.
- Stay updated on changes in property management laws and best practices.
- Assist in handling legal matters, such as evictions and tenant disputes, in accordance with relevant laws and procedures.
Qualifications and Requirements:
- High school diploma or equivalent.
- Previous experience in property management, real estate, or a related industry is often preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Familiarity with property management software and computer proficiency.
- Understanding of relevant laws and regulations in the property management industry.
- Attention to detail and the ability to maintain accurate records.
- Customer service-oriented mindset with a focus on tenant satisfaction.
