Summary of position
This position provides administrative support to the advisor, interacting with clients and maintaining operating efficiency with paperwork and software programs.

Primarily, you will work closely with an individual advisor, assisting with his book of business. Over time, there will be opportunities for skill development, career growth, and advancement within the firm.

Principal Responsibilities
- Accurately complete and submit forms within established timelines.
- Maintain and update client and business files using a OneDrive-based filing system.
- Track pending business paperwork; collaborate with the advisor to develop a tracking system for outstanding tasks and requirements.
- Handle client phone calls and transfer calls to the advisor as needed.
- Proactively address advisor needs.
- Update CRM systems.
- Perform mail merges for mailings and other outreach activities as directed by the advisor.
- Utilize COMMunity Link® to access Commonwealth resources, Morningstar®, and other tools.
- Efficiently use Commonwealth’s services.
- Recommend improvements to office systems and processes.
- Regularly review Commonwealth news, technology updates, and email communications, and report pertinent information to the advisor.
- Assist with office marketing initiatives.
Required Knowledge, Skills, and Competencies
- High attention to detail.
- Proficiency with computers and the ability to solve problems independently.
- Experience in financial services is valued but not required; adaptability and a willingness to learn new tasks and systems are highly preferred.
- Superior organizational skills and the ability to help develop systems for structure and organization.
- Patience and accuracy in performing repetitive tasks.
- Proficiency in MS Office Suite (Word, Excel, Outlook, Teams).
- Willingness to take initiative in the absence of explicit tasks, when appropriate.
Dimensions
The primary purpose of this position is to support the advisor, allowing him to focus more on financial advice and business development. Performance will be evaluated based on task completion efficiency and the ability to work independently without micromanagement.
Job Type: Part-time
Pay: $20.00 - $24.00 per hour
