Administrative Assistant, Full-time or Part-time
Do you like interacting with people? Do you want to use your communication, writing and administrative skills to support a not-for-profit organization that relies on its members to further its mission? The Retired Public Employees Association seeks an organized, positive individual to serve as its full-time or part-time administrative assistant. RPEA advocates for and provides information and services to New York state and local government retirees. The administrative assistant greets members and visitors when they come to the office and assists members, the board of directors, committees and our staff. The ideal candidate will like working for a member-driven organization, have strong communication, organizational and problem-solving skills, be familiar with computer software, including database management, be familiar with posting on social media such as Facebook, and be able to take initiative independently while also being a team player.
This is either a full-time or part-time position, depending on the chosen candidate’s availability, onsite, in an office with a small staff that reports to the executive director.
The Organization
The Retired Public Employees Association is a powerful advocate for current and future public service retirees. Founded in 1969, RPEA is a not-for-profit organization that represents the interests of nearly 500,000 retirees from New York state and local governments, school districts and public authorities and their spouses and beneficiaries. RPEA’s mission is to advocate for government retiree benefits and rights, provide information to legislators, members and the public, and monitor news, legislation and trends that affect retirees. We are the only organization whose sole mission is to protect and enhance government retirees’ pensions, healthcare and other benefits. RPEA has chapters throughout New York State and in Florida. We do not endorse or support political candidates or parties. We are located in the Rensselaer Technology Park in Troy, NY (Capital District area). More information is on our website, www.rpea.org.
Responsibilities
· Assist with requests for information from legislative offices, members and the public through postal mail, email and our website from the organization mailbox
· Manage the membership database
· Assist with distribution of mailings and emailed newsletters and alerts
· Coordinate board, committee and other organizational meetings, including distributing meeting materials and creating links to and facilitating meetings on Zoom
· Take, transcribe and send minutes of meetings to appropriate members
· Monitor, post and forward messages on our Facebook page
· Maintain board of directors manual, employee handbook and organization chart
· Assist with ordering office supplies and equipment
· Assist with coordinating the annual membership meeting and chapter meetings
· Assist with outreach initiatives aimed at attracting nonmembers and increasing member participation
· Contribute to team effort by performing other related duties as requested and required
Qualifications and Skills
· Minimum high school diploma; some college is a plus
· Minimum five years experience in a similar position
· Excellent organizational, analytical and recordkeeping skills
· High-quality oral and written communication skills with great attention to detail and accuracy
· Experience with computer programs such as Microsoft Word and apps such as Zoom
· Experience with or ability to learn database management and publication design software
· A people person: positive, energetic personality with ability to work with many different personalities
· Ability to multi-task and meet deadlines
· Passion for working in a membership-driven organization
· Ability to take initiative and work independently but also be a team player
· Must be able to work in the office; this is not a remote position
Position Details
· Full-time position: 37.5 hours per week plus benefits or Part-time position: approximately 21 hours per week with no benefits
· Hours: Full-time—Monday-Friday 9:00am-4:00pm. Part-time— 3 days per week, 9:00am-4:00pm
· Some flexibility required for occasional additional hours or days
· Salary commensurate with experience and qualifications; range is $18-21 per hour
