Job Summary:
We are seeking a proactive and organized individual to join our team as an Assistant/Accountant for our construction business. The ideal candidate will provide essential administrative support to our team, particularly assisting our project manager with various tasks related to property rehabs, maintenance, and other ongoing projects. Additionally, this role will involve handling office duties to ensure smooth operations within our company.
**Responsibilities**
- Assistant to the general contractor
- Schedule vendors and contractors for projects
- Manage permits, licenses, lien waivers, and contractor certificates of insurance
- Coordinate ordering of materials and supplies
- Maintain records of vendor and contractor invoices for payment processing
- Track receipts and categorize them by job name for billing purposes
- Provide any other necessary assistance to our project manager
**Office Duties**
- Maintain property registrations in the SAM System
- Update and send out annual offers to purchase to limited partners
- Manage conference room meeting schedule
- Assist Regional Managers with scheduling training meetings in the Raleigh office
- Coordinate company functions with owners, such as cookouts and holiday gatherings
- Order kitchen supplies and other necessary items
- Update staff information, email addresses and office hours on property lists as needed
- Coordinate with website designer to maintain accurate information on the property website
- Handle all aspects of company employee health insurance
- Complete annual Secretary of State filings for all LLCs
- Maintain Tricom phone system and handle directory updates and service requests
- Act as contact for Sonitrol office entry system
- Handle HUD 2530s maintenance and preparation as needed
- Retrieve and manage President's voicemail daily and change recording as needed
**Requirements**
- Prior administrative or accounting experience preferred
- Strong organizational and time management skills
- Excellent communication and interpersonal abilities
- Ability to multitask and prioritize tasks effectively
- Attention to detail and accuracy in record-keeping
- Knowledge of construction industry practices is a plus
