Position Purpose
The Grants Manager plays a vital, highly collaborative role in obtaining and maintaining resources necessary for the HIV prevention, care, and support services Vivent Health provides across multiple states. Success in the role requires competencies in both technical and persuasive writing, solid organizational and project management skills, effective relationships with internal and external stakeholders, and interest in the delivery of comprehensive health and social services for marginalized populations. The Grants Manager works with program staff to identify funding needs, strategizes with key decision-makers in Operations, Finance, and Philanthropy to cultivate funding opportunities and develop compelling proposals, manages the grant submission process, and assists in tracking post-award deliverables and monitoring compliance with funder requirements.
Essential Functions
- Research and identify potential funding opportunities to support existing or new programs, prepare overview of selected opportunities for program leadership consideration.
- Plan proposals according to grant guidance; develop project design, budgets, and work plans in collaboration with program staff; compose compelling, well-written narratives.
- Coordinate submission of grant applications, including use of funding agency portals (e.g., Grants.gov, eRA Commons, GrantSolutions, HRSA Electronic Handbook).
- Manage designated grant portfolio and ensure required grant/contract documentation remains current, on file, and disseminated appropriately to Operations program staff, Finance, and/or Compliance, such as:
- certificates of insurance, assurances, SAM.gov registration.
- Notices of award, executed contracts, subcontracts, amendments, and budget revisions.
- Scopes of work, work plans, implementation plans, staffing plans.
- Assist program staff to oversee awarded grants/contracts which may include tracking deliverables, reviewing utilization and expenditures, monitoring deadlines, and preparing post-award reports, renewals, and site visits. When appropriate, recommend, prepare, and submit work plan modifications and budget revisions.
- Develop and maintain a thorough understanding of:
- Vivent Health’s HIV prevention, care, and support service delivery.
- HIV epidemiology trends, needs assessment, social determinants of health, and geographic differences.
- Federal funder requirements, including Code of Federal Regulations (CFR), Ryan White, and HOPWA.
- Serve as point of contact to funders and relay their feedback and expectations to key staff to support compliance and awareness of changes in policies, standards, and regulations applicable to funded programs.
- Maintain timely and effective communication with internal departments and external stakeholders regarding grants/contracts, anticipate and troubleshoot potential challenges, highlight, and share notable achievements.
Specific Duties for Designated Ryan White Part C (RWC) Grants Manager or HOPWA Grants Manager:
- Maintain subject matter expertise on applicable HRSA or HUD regulations, including policy clarification notices, federal register notices, and legislation (i.e., Ryan White Act, AIDS Housing Opportunity Act).
- Oversee day-to-day RWC or HOPWA program activities at designated site(s), in conjunction with Operations site leader, service delivery leaders, and Finance, and ensure fidelity to policies and procedures.
- Serve as point of contact for project officer and provide updates as needed (e.g., monitoring calls).
- Ensure program consistency with local/state needs assessment and current integrated plan or consolidated plan.
- Prepare grant budget and work plan, track expenses, and monitor grant performance including quality indicators.
- Manage processes necessary to ensure required grant reports are compiled and submitted accurately and timely (e.g., Ryan White Services Report, Expenditure Report, CAPER/APR, Continuum of Care).
- Incorporate consumer input in the program, including consumer advisory forums and client experience surveys.
- Participate in HRSA HIV/AIDS Bureau or HUD/HOPWA meetings, webinars, and conferences on behalf of the program and disseminate information to key program staff.
- Provide informational sessions for key program staff on HRSA or HUD requirements including program eligibility, allowable costs, policies, and required documentation.
Qualifications
- Master’s Degree in a relevant field and at least 2 years of experience related to grant writing, grant management, or grant compliance OR Bachelor’s degree in related field with 4 years’ experience related to grant writing, grant management, or grant compliance
- Strong writing, organizational, and project planning skills for successful proposal preparation and submission
- Ability to communicate effectively and professionally with internal and external stakeholders in verbal and written communications
- Proficient in Microsoft Suite including Word, Excel, Outlook, Teams, and PowerPoint
- Ability to draw conclusions using inference and logic
- Attention to detail and efficient time-management skills
- Strong administrative skills and self-motivated with the ability to set priorities and manage multiple tasks under minimal supervision in effective and efficient manner
- Ability to work under pressure and respond to deadlines without sacrificing quality
- Ability to maintain constructive working relationship with colleagues, supervisor, and external stakeholders
- Ability to effectively use organization’s computer systems
- Ability to convey complex information in a clear manner to a diverse audience
- Possesses integrity, accountability, and can be relied upon to act ethically and confidentially
Salary:
Starting at $67,000/annually (Depending on Experience)
