Please visit our website, www.levelwm.com, to learn more about our firm. We are seeking a detail-oriented and client-focused Client Service Associate to join our team. This role encompasses a variety of client service, operational, and administrative tasks aimed at ensuring high quality client interactions and efficient internal processes. We are looking for a highly motivated individual who is a self-starter, takes ownership of assigned tasks, and is responsible for seeing projects through to completion. The ideal candidate will possess strong organizational skills, a high level of attention to detail, be proactive, and demonstrate initiative.
The Client Service Associate is responsible for supporting the lead advisors as well as ongoing client communication and relationship management. For the right individual, this role provides the opportunity for meaningful growth and flexibility. A financial services background is not required, but the ideal candidate will demonstrate a commitment to learning the details of our business and have a focus on creating an incredible client experience.
Key Responsibilities:
Custodian Paperwork and Account Management:
- Open new accounts, process money movements, and handle account maintenance needs.
- Manage beneficiary changes and account transfers.
Team Support:
- Support Lead Planners to ensure clients are managed effectively and receive a high level of service from an administrative, operational, and client care perspective.
- Schedule client meetings and ensure all logistics are managed.
- Scan documents and upload virtual files accurately and securely.
- Support the overall business with special projects and tasks as necessary.
Client Engagement and Documentation:
- Create and send end-of-year gifts to clients, ensuring compliance documentation is maintained.
- Prepare agendas for meetings and compile follow-up notes after meetings.
- Upload tax returns to tax planning software and manage related documentation.
- Support the onboarding of new clients, including setting up agreements and payments, gathering necessary data, and ensuring meetings are scheduled.
- Process and set up new clients in custodian systems and advisor databases.
- Troubleshooting and resolving client issues with a focus on providing high quality service.
- Proactively and reactively interacting with clients via phone and email.
- Delivering a high-quality and consistent client experience while proactively identifying areas for improvement.
Operations:
- Create and distribute reports to clients, and post quarterly commentary on the website.
- Calculate and submit quarterly billing.
- Update client database and other information as needed in Portfolio Management system.
- Takes initiative and continuously seek opportunities to improve internal processes, and the client experience.
- Manage KPI tracking for the firm, including new clients, prospects, website contacts, etc.
Qualifications:
- Bachelor’s degree required.
- Previous experience as a client service associate for a financial firm required.
- Strong organizational skills with high attention to detail.
- A professional demeanor and advanced communication skills, including strong phone and email etiquette.
- Proficiency with Microsoft Office Suite and experience with client management software.
- Demonstrated integrity, work ethic, and an obligation to maintain firm and client confidentiality.
- Problem-solving skills and the ability to troubleshoot issues effectively.
- Ability to work independently and as part of a team.
- The ability to pass a background check.
Working Conditions:
- Full-time: 40 hours/week.
- Remote-based.

- Salary Range - $48,000-$60,000.
