Position Title: Administrative Assistant - Paraeducator Coordinator
Work Year: 11-Month Work Year

Reports To: Special Education Division Chair
Summary:
● Serves as Administrative Assistant within the Special Education Division. Coordinates schedules and absence coverage of paraeducators and assists with supporting paraeducators in their roles.
A. Essential Duties and Responsibilities: (other duties may be assigned)
1. Coordinates daily absence coverage of paraeducators.
2. Manages substitute plans and provides essential information for substitutes to fulfill daily duties.
3. Problem solves and communicates needs for paraeducator coverage.
4. Proactively fills needs based on planned future absences.
5. Manages daily substitute system and daily absence reports for paraeducators.
6. Supports on-demand problem solving of paraeducator and student needs.
7. Develops and maintains documentation to communicate student needs for sub coverage.
8. Maintains database of paraeducator schedules and student needs for paraeducator support.
9. Coordinates paraeducator assignments for extracurricular activities and events.
10. Maintains substitute list and contacts substitutes to fill unmet needs.
11. Communicates status updates with appropriate colleagues before leaving each day.
12. Assists with creation of semester master paraeducator schedule.
13. Assists with procedures related to hiring paraeducators.
14. Supports onboarding and training of new paraeducators.
15. Assists with logistics related to professional development and training for paraeducators.
16. Assists with the development of communication and feedback tools relative to paraeducator roles.
17. Maintains documentation of training participation and materials
18. Maintains and organizes electronic files on online systems, such as Google and Canvas
19. Coordinates submission of timesheets with Business and Human Resource offices.
20. Assists with organization of paraeducator evaluation process.
21. Develops understanding of essential duties of paraeducators within LTHS.
22. Maintains accurate records and assists in production of reports as needed.
23. Maintains confidentiality and professionalism.
24. Takes initiative to develop systems that support the needs of the organization.
25. Develops a strong understanding of the continuum of Special Education services at LTHS and the unique qualities of different classrooms, supports and services in order to most effectively assign coverage.

D. Education and/or Experience:
- High School Graduate or equivalent.
- Two years office experience necessary.
- Knowledge of computer software, including Google Suite and Microsoft Office Suite.
- Strong data entry aptitude.
- Strong written and verbal communication.
- Ability to be highly organized and detail oriented.
- Organizational and time management skills.
- Ability to learn new concepts quickly and adapt to changing environment.
- Good communication skills (reading, writing, speaking, listening and understanding) including active listening skills to accomplish the tasks assigned.
- Ability to accept feedback and apply it to work task improvement.
- Familiarity with diverse racial and ethnic backgrounds with regards to health and cultural needs preferred.
E. Language Skills:
● Ability to read and interpret documents; ability to write routine reports and correspondence; and ability to speak effectively with administrators, staff, students and parents.
F. Mathematical Skills:
● Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions and decimals.
G. Reasoning Ability:
- Uses critical thinking skills to create documents and spreadsheets and interpret information furnished in written, oral, diagram, or schedule form
- Able to set goals based on the available information and to plan work in order to meet deadlines. Able to project likely future occurrences based on current or historic data

H. Other Skills and Abilities:
- Ability to use Student Information System, Microsoft Office products (Word, Excel, Publisher, PowerPoint), Google Suite and Outlook. High level of typing and transcription skills and public relations ability. Ability to perform duties with awareness of all District requirements and Board of Education policies.
