Dependable Highway Express – Dispatch/Administrative Coordinator for our SNL Office Harbor/Intermodal Division.
This Dispatch/Administrative Coordinator position will report directly to the Dispatch Supervisor of the Harbor Intermodal Division San Leandro and to contribute to the success of the Harbor Division to ensure maximum productivity of all drivers and overall harbor dispatch. He/she will work with the Dispatch Supervisor to develop strategies for long-term growth, profitability and interdepartmental cooperation and ensure that the integrity of the company is always maintained. The successful candidate will have full supply chain knowledge with extensive ocean and rail intermodal experience with an asset-based employee drivers service offering.

QUALIFICATIONS:
- In-depth knowledge of TMS solutions including Port Pro, Profit Tools, Silver Bullet, Trinium or similar systems
- Thorough knowledge of Harbor and Rail operations for POO and Surrounding areas for Rail.
- Possess knowledge of applicable laws affecting drivers and service-related issues to know when to elevate.
- Ability to create a team environment with dispatchers, drivers, and be able to promote a positive attitude.
- Minium 2 to 5 years in supply chain and relative work with drayage movements from Port/Rail locations
- Bi-lingual (Spanish speaking/reading/writing) preferred.
- Must have reasonable computer and analytical skills to be successful.
- Knowledge of all steamship lines in conjunction with the main marine terminals in the Port of Oakland
- Customer Interface in problem resolution relative dray support and solutions to barriers in process.
- Understanding of how Dray deliveries transition to billing events, and how to track critical elements through process to completion.
- Good written and verbal communication skills and ability to document and address gaps in performance for all team members at the dispatch and driver levels.

DUTIES / RESPONSIBILITIES:
- Using telephones, cell phones, or text messages to contact drivers and office personnel.
- Speaking with customers to resolve problems, requests for services or equipment.
- Preparing and input of Delivery Orders/work orders into our Port Pro System (TMS) with Customer Service Team.
- Stays in communication with the drivers to ensure they have a smooth transition entering the terminals, this includes being able to switch appointments, pay the port fee’s if necessary, or call the terminals trouble assistance number to resolve the problem and updating as needed in TMS solution and communication to customer.
- Adhere to and promote the Company Mission Statement, “Principles for Success” and Principles for Leadership” to subordinates and ensure that they are doing the same to those they dispatch.
- Maintain files and records so they remain updated and easily accessible and other office duties as assigned.
- Use of all available tools including computer, TMS, cell phone, text messages, Samsara, and other devices to stay in contact with drivers to validate essential functions are completed on time and directing dispatch team to manage.
- Develop and maintain strategies to keep drivers/trucks moving throughout their shift to promote highest productivity in a safe environment.
- Perform all work in a manner that exemplifies the principles of “Leading by Example” and “Principles of Success”.
- Ability to provide weekly/monthly/quarterly feedback and review of Dispatch and Driver Performance.
- Management responsibilities for your team:
- Evaluate all subordinates and team members at annual and interim review discussions.
- Help improve areas as you identify gaps in process or procedure, update SOP’s and train team member(s).
- Take needed and appropriate action with explanations, appropriate documentation when there are gaps in the performance of employees and team members.
- Set appropriate short term, intermediate and long-term objectives to enhance performance in conjunction with established safety department and corporate goals.
- Develop SOP’s, desk procedures, and ability to build succession plan for your department.
- Support driver workforce in the orientation, training and development programs assigned monthly.
- Special projects as assigned by senior management.
ORGANIZATIONAL ARRANGEMENTS:
- Accountable to: Dispatch Manager and Dispatch Supervisor San Leandro and Harbor Division.
- Reporting to: Dispatch Supervisor San Leandro – Harbor Intermodal Division
- Other Accountabilities: Dispatch, Customer Service, Safety, Equipment Control and Maintenance
WORKING ENVIRONMENT:
- Physical environment consistent with industrial environment, lifting, bending, seated for extended periods of time, and as required for daily activity, training, and observing functional applications.
- May be some limited travel not to exceed 10% to other Dependable locations in California (LA/LB Area)
- The site is typical of a trucking company, and drayage equipment is consistently moving in our local yards.
- Personal protective equipment is required when outside of the office space, typical of high visibility vest and appropriate foot attire (closed toe shoes)
