Responsible for providing support in the tax area to meet State/Federal deadlines. This position will primarily manage the preparation and distribution of statistical reports. They will assist with various correspondence. Assist with tax department meetings. Be the point person for Xpitax (Outsourcing). Assist with tax extensions. Assist with work schedules. May be asked to provide support in other areas within tax (organizers, assembly, etc.). This position may be asked to provide administrative support in other areas of the firm.
1. Provide support where needed within the tax area:
a. Preparation and distribution of statistical and project reports.
b. Assist with tax notices and correspondence.
c. Support for tax and audit controversy.
d. Schedule, prepare agendas, and take notes for all tax department meetings.
e. Follow processes and procedures so all members of the firm know the status workflow throughout the office.
f. Assist with the tax extension process by transmitting, accepting, and handling rejections.
g. Be the point person for Xpitax (outsourcing).
h. Assist with scheduling of staff and projects.
i. Annual review of information in the database.
j. Maintain information in the database.
2. Assist in other areas within administration:
a. Word processing letters or reports.
b. Assist with special projects.
Other Functions
- Attend events and represent the firm.
- Run firm errands.
- All other duties assigned.
- Position requires that this person be flexible with his/her schedule to meet federal deadlines.
- Must be able to work extra hours from January – April. There may be extra hours needed from September – October 15th.

- Ideal candidate would have three or more years of experience in administrative support.
- Candidate with tax or accounting experience would be preferred.
- Must have knowledge and skills in Microsoft Office Products: Word, Excel, and PowerPoint.
- Must have the ability to learn new software.
- Must have the strong organizational skills.
- Must be detail oriented.
- Must be able to handle strict deadlines under pressure.
- Ability to communicate clearly, concisely and with diplomacy.
- Must have strong interpersonal skills and the ability to work well with others.
- Must be able to make independent judgment and have a desire to provide a quality product.

- Must be able to maintain a high level of confidentiality.
- Must be able to speak fluent English.
Office environment.
- 40+ hours may be required between January and April and between September and October, including some Saturdays.
- Weekly hours and some flexibility outside of the deadlines can be negotiated.
- 80% of time is spent looking at the computer screen.
- During busy season, this position would need to work in the office with limited opportunity to work remotely.
- Outside of busy season and September/October, this position would have the opportunity to work remotely (or a hybrid situation).
- There is some time that is required to stand for copy/scanning of work.
- Must be able to drive and have a vehicle for an occasional meeting with a vendor or to run firm errands.
Job Type: Full-time
Pay: $26.00 - $31.00 per hour
