The position of Event Coordinator with the Center for Organ Recovery & Education (CORE) is one of moderate to considerable responsibility. The Event Coordinator will be responsible for CORE’s biannual donor remembrance ceremonies, large educational programs, special projects, and events. This position may also take on duties relating to development as well as becoming involved with other department projects and events as necessary. They will work to ensure that all programs, activities, and events demonstrate internal and external support for CORE’s mission and public image.
Excellent oral and written communication skills are required, as is the ability to meet deadlines, understand, track and maintain budgets and goals and objectives of the department and organization. They will have the ability to travel throughout CORE’s service area including Pennsylvania, West Virginia and New York, and work weekends and evenings. They must be able to demonstrate excellent organizational skills, effective use of time/project management and ability to meet deadlines. Excellent interpersonal skills are required to work with diverse audiences, including volunteers, community partners, students, transplant recipients, transplant candidates and donor families. A commitment to CORE’s mission and ability to represent the organization in a positive manner will lend itself to the ability to fulfill the requirements of the position.
The Event Coordinator reports directly to CORE’s Director of Public Affairs and Donor Family Services. They plan, organize, coordinate, promote, and facilitate special events to promote organ and tissue donation including but not limited to: Biannual Donor Remembrance Ceremonies, Team Alleghenies Transplant at the Transplant Games of America, Years of Contribution Dinner, Holiday Party, Volunteer Appreciation Dinners, Hospital Challenge Luncheons, Educational Symposiums, Walk/Run, and other partner events. They facilitate the coordination and communication for committees and task forces for events and/or fundraising initiatives, including preparation and distribution of agendas and meeting minutes.
Develop specific goals and objectives, participation, budget, media, logistics, measurement and evaluation for each program. They will advance the mission of CORE by increasing the involvement and commitment of volunteers, recipients, donor families, hospital partners, transplant centers and the general public in our service area through special programs and events. Seek opportunities to involve others, both internally and externally to develop relationship and generate partnerships. Is adaptable and flexible to change. They may be assigned other job-related functions by the Director of Public Affairs and Donor Family Services and/or CORE’s President/CEO.
The position of Event Coordinator requires that the incumbent have a bachelor’s degree in Education, Communications, Public Relations, Marketing or other related field, minimum two years’ experience in communications, or public relations. In lieu of a bachelor’s degree, incumbent must have a minimum of five years’ experience in communications, public relations, marketing or other relevant field. Excellent written and oral communications skills as well as project management experience are highly desirable. They should demonstrate strong analytical, organizational, and interpersonal skills. Requires demonstrated proficiency in: Microsoft Office: Word, Excel and PowerPoint.
Candidate must possess a valid driver’s license and be able to lift 30 lbs., carry and set up displays, sit/stand for long periods of time and be available for some overnight stays of related CORE business. They must be willing to travel throughout the service area and be available for some evening and weekend work. They must demonstrate a commitment to CORE’s mission and administrative philosophy, a strong work ethic and a commitment to the overall organ, tissue, and cornea donation program.
The degree of difficulty for the Event Coordinator falls into the moderate to considerable range considering the responsibilities to represent CORE to the public, volunteers and community partners is great. Mistakes and misinformation could trigger a variety of misconceptions about donation and cause serious administrative problems for CORE, all of which may negatively influence donation and working relationships with community and hospital partners and our public.
