Alpenglow Physical Therapy is a neighborhood PT clinic in Billings, Montana. We are a physical therapist owned and operated clinic that seeks to put the patient first. We specialize in hands-on care for individuals of all ages. We are a patient-first clinic that focus on one-on-one care. We are a small, growing practice with 1 full-time provider.

We are searching for a part-time patient care coordinator who is excited about the opportunity to grow into a full-time position.
Basic Objectives:
The main responsibility of the patient care coordinator is to manage all patients and ensure that they are scheduled and arriving for care. The patient care coordinator recognizes when patients need care and understands how to manage objections to ensure that all patients are receiving the care that they need. The patient care coordinator manages our patients, maintains control of the schedule, and acts as an important point of contact for every patient who reaches out to our practice.
The patient care coordinator is responsible for maintaining standardized front desk operations that result in happy and satisfied patients who are arriving for their scheduled appointments. It will be critical to ensure a warm and efficient front desk area as well as being accountable for great first impressions to patients, referral partners, and vendors.
This is a highly responsible position that involves autonomous thinking and independent decision making, handling cash and company credit cards.
Duties and Responsibilities:
- Being proactive about identifying needs for skilled therapy services and working to help potential new patients get efficiently scheduled for an initial evaluation
- Ensuring that all new patients are appropriately scheduled and that they are provided with all resources needed to arrive as scheduled for their initial evaluation
- Maintaining a full and efficient clinic schedule that maximizes the opportunity for patients to receive the care that they need as well as clinic workflow
- Ensuring that best practices are implemented in order to maximize patient compliance to their plan of care as prescribed by the evaluating therapist
- Ensuring that all over the counter collections are collected accurately and in a timely manner
- Displaying efficiency and accuracy during patient medical record data input
- Ensuring that clear and accurate communication is maintained between our clinic and patients so that expectations are well managed and understood
- Being proactive about identifying any patient concerns and working to address them
- Maintaining cordial and professional communication while being readily available to communicate with anybody who reaches out to our clinic
- Being proactive about reaching out to past patients at regularly scheduled intervals to nurture patient relationships
- Measuring and reporting weekly metrics that are related to clinic performance
- Actively engaging in weekly team meetings
- Any additional relevant tasks that are assigned by the clinic director or owner
Desired Outcomes:
The desired outcome and product of the patient care coordinator is people helped. As a patient care coordinator, it is our responsibility to ensure that every action that you take during your day is striving towards your product of people helped. In order to have a high rate of people helped, the entire practice must remain focused on helping patients get the care that they need. The patient care coordinator must recognize that it’s not just your product, but it is your responsibility.
Responsibilities:
- Warmly greet patients and visitors in a courteous and professional manner.
- Answer phone calls and emails in a timely manner.
- Schedule appointments, facilitate referrals, and maintain accurate patient records using our electronic medical record system.
- Collect payments and communicate to patients their insurance benefits/payment responsibilities.
- Monitor inventory of office and clinical supplies and assist with ordering when necessary.
- Perform other administrative duties as assigned by management.
Requirements:
- High school diploma
- Proficient computer skills including Microsoft Office and willingness to learn our electronic medical record system.
- Excellent communication and interpersonal skills.
- Ability to multi-task.
- Ability to maintain patient confidentiality and privacy.
Additional Skills
- Must possess a friendly, upbeat, outgoing, and energetic personality
- Some relevant skills in the medical field is preferred
