Responsibilities
- Maintain accurate and up to date patient and provider availability in the electronic health records (EHR) system
- Create schedules for new team members two weeks prior to their start date
- Maintain ongoing schedules for patients and providers according to standard operating procedures for 100+ patients and 75+ team members, timely input of schedules, limit last minute changes
- Update caregivers when scheduling changes are to occur or when new providers are assigned to their case
- Manages the rescheduling of patient & provider cancelations and coverage of cancelations
- Follow up with caregivers on a quarterly basis when hours are underutilized to increase hours scheduled
- Find coverage for patients and providers when sessions are cancelled or time off is requested
- Oversee the completion of all Helpdesk Tickets as they pertain to Scheduling
- Oversee the Patient Cancelation phone line according to standard operating procedures, ensure prompt response times (within 10 minutes), ensure timely notification to providers when cancelations occur, ensure accurate entry of cancelations in the electronic health records system
- Collaborate with Intake & Recruiting to facilitate the timely onboarding of new team members
- Collaborate with Leadership to develop and refine standard operating procedures
- Maintain a high level of knowledge of payor policies, industry standards, & regulations to remain in compliance
- Audit own work to ensure quality and accuracy
- Actively check and respond to work related communications within 24 business hours
- Attend scheduled meetings & trainings as assigned
- Assist with operations audits as assigned by the Director of Operations
Hours & Location
- Work from the Sandy clinic 2 days per week
- Monday through Friday 8:00 am to 5:00 pm, occasional after-hours meetings may be scheduled with advanced notice given
Qualifications
- At least 2 years of health care admin or equivalent support experience, preferred
- At least 2 years of health care scheduling or equivalent experience, ABA scheduling preferred
- Bachelor’s degree or higher is preferred
- Fluent in Spanish
- Proficient in Microsoft Office Suite
- Working knowledge of Central Reach and/or other electronic health records systems is preferred
- Ability to work in a demanding and dynamic fast-paced environment with the flexibility to adjust to changing priorities and deadlines
- Ability to exercise effective judgment, sensitivity, and creativity to changing needs and situations
- Strong communication and customer service skills, both oral and written
- Strong interpersonal skills, with the willingness and ability to collaborate across teams and personality types
- Detail-oriented, with strong organizational skills and the ability to manage multiple priorities
- Must have your own secure computer you are willing to use for work
- Must have a private and secure high-speed internet connection
- Must have a private workspace within your home to maintain patient privacy
Job Type: Full-time
Pay: $45,000.00 - $50,000.00 per year
