As a Legal Secretary, you will provide on-site administrative support to attorneys, paralegals, and administration in our main Dallas office and to our other offices in CA, CO, and NY.
Our Dallas office is located in an older building near Deep Ellum with no elevator. Our dress code is casual unless clients are visiting when more professional attire is expected.
Our office is open from 9:00 am to 5:00 pm.
Qualifications:
- Minimum of 3 years of legal secretary experience in civil litigation and appellate matters.
- Must be able to create Tables of Content and Tables of Authority
- Excellent working knowledge of MS Word, Excel, Outlook, & Adobe
- Mac/Apple experience preferred
- Excellent verbal and written communication skills
- Previous experience with billing platforms LawBillity/Time Tracker a plus
- E-filing experience in all court levels
- Excellent attention to detail with impeccable grammar and punctuation
- Ability to prioritize and handle multiple concurrent tasks
- Ability to exercise judgment, diplomacy, and discretion
- Strong calendaring skills to ensure deadlines are met
- Strong organizational skills
- Strong interpersonal skills while working effectively and flexibly as part of a team
Main Responsibilities:
- Draft, revise, and finalize legal documents, court filings, and court submissions
- Draft, revise, and finalize correspondence and presentations
- E-file documents in State and Federal Court
- Ensure timely filing/submission of court filings
- Create and maintain electronic client and case files
- Track, download, and save all file-marked court submissions to electronic client folders
- Maintain client contact information
- Enter daily time for attorneys in LawBillity billing platform
- Maintain attorney admission information
- Track and maintain attorney CLE compliance and reporting
- Create, circulate, and track conflict checks
- Track attorney expenses and work with accounting department to ensure accurate assignment of expenses to the appropriate case
- Includes collection of receipts and preparation of expense reimbursement requests as needed
- Prepare hearing and trial notebooks and exhibits including application of electronic Bates numbers as needed
- Support attorneys during trials by organizing exhibits and evidence
- Create calendar entries with reminders to ensure deadlines are met
- Schedule appointments and meetings
- Coordinate with clients, court officials, and other legal professionals while maintaining the highest level of professionalism and confidentiality
Other Related Responsibilities:
- Answer phones and convey appropriate messages to ensure closure/response
- Collect mail daily and distribute as appropriate
- Miscellaneous administrative duties as assigned
