Part-time Position, about 25 per week
Monday through Thursday 9:00 am to 2:00 pm, with flexibility on the final 5 hours as needed.
Salary Range: $20-23 per hours based on experience
This position ensures a well-functioning office where visitors and callers are greeted with kindness and respect, oversees all communications of the church, and coordinates volunteers to assist with the church ministry carried out by the Pastor and the congregation. This position will report to the Pastor, and has no supervisory duties other than supervision of office volunteers as needed.
Responsibilities include:
- Management of the Church office operations and records
- Procuring, maintaining inventory and overseeing storage of office supplies
- Maintaining office equipment and arranging for repairs as needed
- Receipt and distribution of mail
- Keeping the information boards current, including news of members, birthdays/anniversaries, community events, Church Calendar and announcements
- Maintaining files and data base
- Maintaining membership records, personnel files, and printing needs
- Assisting outside vendors - e.g. HVAC, elevator, etc. – and helping coordinate the scheduling and performance of maintenance and repairs
- Maintainance of an organized and welcoming office
- As the first point of contact for most visitors to the church office, greeting people warmly, providing assistance, answering questions and directing them as needed.
- Passing along messages to the appropriate individuals when needed.
- Sorting and distribution of mail
- Preparation and Production of all communications of the church
- Acting as the primary communicator to the congregation including weekly church bulletins, weekly emails, monthly newsletters, website updates and social media posts
- Additionally, the Church Office Administrator coordinates the preparation of the Annual Report with input from the Pastor, Staff and Committees.
- Coordinates volunteers for church ministries and office, including supervision of office volunteers
- Maintenance of the Church Calendar including coordination of building use by congregational and outside groups
- Provide administrative support for Pastor and Church Staff Including: Financial Secretary, Music Ensembles Director, Accompanist, Tech Director, Custodians, Daycare Director, and Church Council.
- Coordinates communication with Senior Housing residents and Housing Corporation Board.
- Coordinates communications for baptisms and prepares supplies
- Assists funeral personnel and families

Physical Requirements
Ability to lift 35 pounds (receiving shipments of supplies, for example). No other extreme physically demanding requirements.
Decision-Making and Discretion
Work is performed under the general supervision of the Pastor who will provide general direction. The Church Office Administrator is responsible for establishing and promoting an efficient, safe, secure, and productive church office environment. Daily activities are conducted with a high degree of independence. Pastor is to be consulted on issues related to schedules, sensitivity or controversial issues.
Required Education and Experience
- High School Diploma or equivalent
- Some experience in responsible administrative capacity
