Job Title: Development Associate, Administration

Reports to: Executive Director/CEO, Director of Special Events
Status: Full-time, non-exempt
Summary:
The Development Associate, Administration provides administrative support to the Executive Director/CEO and supports the Director of Special Events through back-office administration for the Houston Symphony League.
Essential Job Functions:
Executive Director/CEO support:

Assist Executive Director/CEO with calendar and scheduling
- Make travel arrangements

Process monthly expense reports
-
Provide additional administrative support as needed

Donor Trip Coordination
-
Special project support
Director of Special Events support for Houston Symphony League Administration:

Track and manage Houston Symphony League member expenses and invoices
-
Work with League treasurer to ensure efficient expense and invoice procedures and strong communication between League and Symphony staff

Prepare and distribute bi-weekly transaction reports to League

Set up and track payments for League events, working with relevant League Board members

Track RSVPs for all League events

Work with League Vice-President of Membership to track membership payments and lists

Provide auxiliary support for special events when needed.

Bachelor’s degree preferred

Meeting planning and administrative experience

Ability to work in a fast-paced environment with changing priorities

Great attention to detail and ability to handle multiple projects while maintaining an outstanding standard of quality and accuracy in completion of job functions
- Strong interpersonal skills, diplomacy and tact in interacting with a diverse group of individuals

Excellent written, verbal and organizational skills

Excellent computer skills

Ability to work some nights and weekends

Interest in and knowledge of classical music is a plus
