Administrative Assistant with Receptionist Responsibilities
Small Accounting firm seeks an Administrative Assistant for an in-office position. This is NOT a REMOTE position. The Administrative Assistant must also handle the receptionist responsibilities. We seek a person with a pleasant personality and with a dynamic professional attitude to add to our team!
The Administrative Assistant needs to be extremely positive and upbeat, energetic, a self-starter and who is able to work independently while meeting deadlines and assisting other team members in meeting their deadlines. The Candidate must also interact well with the clients and other team members. The Administrative Assistant must have excellent Time management and organizational skills, as well as the ability to multitask and prioritize work. Must have strong written and verbal skills, attention to detail and problem-solving skills.
In the Receptionist role, you will be the first point of contact for our company. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Tracking from start to finish tax return status.
Multitasking and stress management skills are essential for this position.
Prior experience with Drake Tax Software and QuickBooks is a plus.
Responsibilities will include, but are not limited to:
- Greeting and welcoming Clients as soon as they arrive at the Office
- Answer, screen, take messages and/or forward Phone calls accurately
- Provide basic and accurate information in-person and via phone/email/portal
- Processing Client at exit of appointments and/or pickup
- Accepting and processing Client Payments
- Scheduling Appointments for Team Members
- Daily Reminder Email/Phone Calls to Clients
- Scanning, Copying and Faxing Documents with Data Entry
- Light Bookkeeping for small clients
- Preparing Client Files
- Clerical Duties, as needed
- Billing of Clients and Collections
- Setting Up Tax Payments for various clients
- Maintain client list, accurately
- Letter Composition
- Maintain Office Supply Inventory
- Arrange repairs & maintenance
- Provide Administrative Support to Team
Qualifications:
- Proven work experience as an Administrative Assistance or Receptionist
- Positive Attitude
- Know how to maintain Confidentiality
- Ability to put the Clients’ needs as a priority
- Strong Computer Skills
- Proficient with Excel, Word and Outlook
- Strong Organizational and Multitasking skills
- Not afraid to learn something new and apply it
- Attention to detail and accuracy
- Ability to Prioritize
- Great Communication Skills
- Bookkeeping knowledge and QuickBooks experience
- Tax knowledge and be able to answer basic questions
- Must be able to pass background check
- Must be able to work Full Time (40 hours a week, maybe more during tax season)
