BASIC FUNCTION
The Front Desk Associate works with the staff and doctors to keep the office running smoothly and efficiently. This includes handling calls, scheduling exams, checking patients in and out, verifying insurance, updating contact information at each visit, and assisting with referrals.
DUTIES AND RESPONSIBILITIES: ESSENTIAL FUNCTIONS
1) Handle calls to the practice, including patient calls.
2) Greet patients on a regular basis and provide excellent patient care; check patients in and out.
3) Greet business associates and others who visit the office.
4) Schedule patient’s appointments; actively work to reschedule as openings are established.
5) Contact patients to confirm appointments.
6) Assist with referrals.
7) Acquire medical history and chief complaint of patient.
8) Prepare patient chart and ensure confidentiality of all records.
9) Update contact information at each visit.
10) Track and report daily scheduling metrics.
11) Maintain patient records in billing/scheduling system.
12) Perform simple bookkeeping such as collecting all patient balances and co-pays and post accurately.
13) Verify insurance information.
14) Assure waiting and office area is clean, neat and organized.
15) Administrative duties for this position include faxing, copying, making phone calls,
preparing patients medical records, scanning, and entering extensive data in the office computer system.
SECONDARY FUNCTIONS
1) As needed, assist patients with the selection and dispensing of frames and lenses, and assist patients with contact lens education.
2) This job description is meant to be a guideline for coordinating daily activities; other duties will be performed as assigned.
PHYSICAL DEMANDS
1) This position is performed in an office environment and requires periods of sitting or standing that may last one hour or longer, and should require approximately 30% sitting, 50% standing, and 20% walking.
2) Physical requirements may include the need to occasionally lift up to twenty-five pounds.
3) Occupational requirements for this position include the ability to see, hear, and speak clearly and distinctly as well as reasoning, reading, remembering, writing, and speaking.
4) This position requires the ability to work extended or unusual hours to meet the occasional needs of the practice or in an emergency situation.

SUPERVISION EXERCISED
This position has no supervisory responsibilities.
PERFORMANCE REQUIREMENTS: KNOWLEDGE, SKILLS AND ABILITY
Skills required of the Office Assistant include:

Shall be able to read, write, and speak English well enough to effectively communicate with patients and other staff members
Have knowledge of computer operations and proficiency in the use of basic word processing, data entry, and automated records
(Compulink software used in office.)
EDUCATION AND EXPERIENCE
This position requires a high school diploma, a minimum of 1 years assisting in an eye care practice, diagnostic testing and patient care. Additional front office or office management experience is a plus; must be proficient in Microsoft Word and Excel.

Pay: $15.00 - $20.00 per hour
Expected hours: No more than 40 per week
