The Confidential Executive Assistant to the Superintendent acts as a managerial partner with the Superintendent of Schools. This position plays a critical role in supporting the Superintendent and must maintain both the integrity and confidentiality of all information shared with them, in all situations. It is essential that they have the ability to act to resolve conflicts quickly and in advance of problems arising. They will oversee the central registration for the district for the Saugus Public Schools, providing assistance in the day-to-day and long-range management of student registration, as related to the Public Schools.
They will also support the oversight of transportation issues and general district communication. Statement of Duties: Calendar Management for the Superintendent Negotiate time, space, and requirements for communication, meetings, and events.Communicate on behalf of and in place of the Superintendent.Sends out district communications using BlackBoard Connect when neededSchedule all appointments, meetings, events, and travel, ensuring accuracy and excellent customer service.Develop a tracking system to record meeting attendance, frequency, and rescheduling needs.Conduct a daily calendar review to ensure all details are complete and accurate.Assist with all meeting logistics as needed and requested.Conduct proactive longer-term calendar reviews (1 to 2 weeks in advance) to proactively resolve problems and ensure best use of time.Ensure all double and triple bookings are resolved and clarification is provided in writing to all stakeholders.Develop and maintain effective communication and working relationships with all contacts, internal and external, including regular communication with the School CommitteeConduct research and analysis of data and communicate findings as requested.Assists with additional projects on an ad hoc basis, as needed.Prepare and edit documents in MS Word, Excel, and PowerPoint, as well as the Google platform. Works with the administration to monitor home-schooled students. Organizes and responds to FOIA requestsManages and plans for School Committee meetings and follow-up.Creates agenda with stakeholder input, posts agenda, maintains all relative documents in drive and distributes them to SC and Superintendent for meetings.Resets passwords in X2, if Data Administrator is not availableSupports and handles parent communication, including complaints.Support the oversight of transportation.
Is the point of contact for all regular day transportation issues and resolves them accordinglyServes as the point of contact for families and agencies initiating registration of students under the McKinney-Vento Act. Serves as the liaison to other district employees in the communication of information in this process and attends necessary training. Manages/Oversees all phases of the student registration process. Coordinates residency checks with Town HallOrganizes and processes the forms for student registration.
Works to coordinate enrollment of students in Aspen.Coordinates with the schools to direct the families to the appropriate building to finalize scheduling and building specifics. Support the district's on-line student registration system ensuring that students are placed at the right school as efficiently as possible. In addition, the Student Support will become a resource building the capacity of educators and families to collaborate around student success and connecting students and families to opportunities and resources.Streamlining the on-line student registration system, Liaising with families, schools and community members. Maintain confidential student and personnel information.
Work in conjunction with school staff to ensure a smooth transition for all new families joining the district and to create a welcoming environment that values parents/guardians as full partners in the education and development of their children.
