Job Title: Administrative Assistant
Applicant has GREAT people skills--this is a customer service position first and foremost. Basic technology skills are also required as we use online scheduling for our patients, as well as: email, text, and phone. Applicants must be conscientious.
Primary Responsibilities
Office Management
- Using our software program to schedule patients while following our scheduling protocols
- Processing payments
- Answering phones, replying to texts, managing emails
- Conduct data entry tasks accurately and efficiently
- Utilize QuickBooks for basic accounting tasks (nice-to-have)
- Preparing superbills/itemized receipts for patients
- Maintaining inventory and ordering supplies and stocking
General Skills
- Strong communication skills with patients and other practitioners
- Self-starter and problem solver with a willingness to ask questions
- Excellent computer skills, technical ability to use copier and printer
- Proficient in Basic MS Office, Gmail, Google Drive applications
- Strong clerical skills with attention to detail
- Medical Transcription
- Creativity and ingenuity in improving our business
- Social media and marketing skills are a plus
- Experience in a medical office setting is preferred
Patient Support and Care
- Hospitality: warmly greeting and checking in patients and escorting them to treatment rooms/restroom, offering extra cushions, blankets, beverages etc.
- Light cleaning of treatment rooms between patients and light laundry
- Maintain an organized office environment to streamline operations
- Checking on patients during treatments when notified
