Scope of Work:
- As a broad overview, this job entails all activities needed to direct and manage the activities and operations of the management company and its personnel and coordinate and interface with the development company and leasing team.
- Create, inspire and defend Vista’s culture and reputation.
- Hire, regulate, supervise 22+ employees including establishing job descriptions for each. Set job schedules, establish salaries, track and approve vacations, determine company holidays, dress code, conduct performance reviews, monitor changes in employment laws, maintain company manual and keep employees files current. Conduct annual reviews with each employee and determine corrections needed, salary adjustments and document same.
- Approve accounting departments selection for group health insurance, administrative services for payroll, 401K plan, Vista’s CPA firm and other outside services relative to accounting.
- Select the insurance agency, review quotes, select the carrier, then purchase the insurance for the Master Insurance Policy. Notify all Landlord’s of this selection and cost.
- Enhance and improve outside Landlord’s relationships. Contact them frequently and promote dialogue.
- Produce new business.
Property Management:
- Manage behavior and actions of each Property Manager (“PM”) regarding tenant relations, outside landlord relationships, property activities regarding repair and maintenance to assure every property is well managed and Vista is properly complying with the terms of each management agreement.
- Intervene as needed to assist PM’s handling of problem tenants, delinquency collections, landlord relationships, vendor relationships, approve lock outs and other items not specifically covered by the annual budget or the management agreement and outside the PM’s line of authority.
- Schedule and supervise PM’s preparation of annual property budgets, including reviewing each; approving all expenses, analyzing income, establishing reserves and capital expenses (either as an expenditure or a reserve) and approve projected cash flow. Confirm quarterly distributions to Limited Partner’s complies with projections. If not, discuss with General Partner so notice is presented to Limited Partners. In the case of non-Vista related properties, verify approval from outside Landlord’s is received and documented.
- Approve the terms and selection of “master” contracts with service providers, utility providers, etc.
- Visit each property on a quarterly basis to confirm compliance with management agreement and PM’s proper performance. Visit with select tenants each visit to assess overall satisfaction.
Month End Reporting/Accounting:
- Review each management letter prepared by PM’s for outside Landlords. Confirm content and craft correct language to assure content is well written. Evaluate content for potential problems.
- Review Controller’s monthly cash flow schedules on all properties (typically done in conjunction with review of month end reports). Confirm property is on target for next quarterly distribution to Partners.
- Notify General Partner or outside Landlord if cash is not sufficient for pending expenditures.
- Review and confirm Lisa’s presentation of Vista’s monthly accounts payable list. Confirm adequate cash flow in conjunction with Lisa’s evaluations.
- Review and approve distribution worksheets prepared by accounting for Vista partnerships quarterly distributions.
- Conduct regular reviews with Controller; accounting procedures, standard checks and balances are in place, accounting activities are done safely and correctly, with proper security in place, and to assure banking and accounting is preventing errors and theft as a top priority.
Legal and Claims:
Stay current on legal real estate issues, select the outside law firm/lawyer if needed and handle directly and/or control the management teams handling of these activities:
a. Insurance claims both property and general liability
b. Mold remediation
c. Lawsuits or other threatened actions
d. Tenant lockouts
e. Escalated tenant complaints/threats

Pay: $96,119.17 - $115,756.42 per year
