Set on a private 48-acre estate, this 18-year-old event destination fell under new ownership in December 2021 and has undergone several property renovations, established new operational processes, employed all new staff and created many new customer-centric initiatives. The venue features a wide selection of chic, rustic settings (both inside and out), ideal for elegant weddings, social events, corporate retreats, retirement/board dinners, holiday parties, charity galas, wellness programs, and other life celebrations. Briscoe Manor also provides exclusive off-site catering services from its Chef-driven in-house kitchen. Additionally, a variety of drink menus and specialty cocktails are offered through its in-house beverage company, Foster Services.
Event Specialist Position Description
The Event Specialist is responsible all event management, from post contract signing through event completion. Strong focus on customer relations/guest experience, vendor relations, event delivery/execution, and community relations. This individual can see the “big picture” of running the event, set the standards for superior-level, 5-star wedding and corporate guest experiences, but can also comfortably operate down in the weeds and be mindful of critical details at event level. It is crucial to have a “team” mindset and “roll up the sleeves” attitude and be able to step in and perform a variety of job roles when necessary – whether that be conducting a tour, coordinating an event, training staff, etc.
Responsibilities
· Facilitate and lead meeting with clients prior to event (both corporate and wedding). Prep for consultation and facilitate (2 meetings per client/event)
· Connect with Client’s outside Planner or Coordinator prior to event to receive copies of all insurance, vendor lists, floor plans and timeline. Understand how to follow and read outside planner timelines, floor plans, seating charts, etc.
· Create floor plan, in-house timeline, and rentals list for setup staff. Create and update floor plan. Communicate with property team on setup and execution
· Detail all inventory items on floor plan and where they are coming from
· Review Client invoices/proposals as necessary
· Send Event Specialist assignments emails out to clients
· Manage event day set up of venue’s items
· Attend and execute events. Be present on event day in its entirety (on average, event days consist of longer hours than a standard office day)
· Manage Bride and Groom families and/or wedding party questions about the venue
· Contact all vendors (5 to 6 weeks ahead) of each event to confirm arrival time and tear down time. Answer vendor questions between client and vendor.
· Review floral and rental orders to ensure they are correct
· Assist in communication with all vendors throughout the duration of the event
· Update calendar wiz, smart sheet, google calendar with photo sessions, rental time changes, rental pick ups
· Provide all communication and details for Briscoe events (client meetings, emails, phone calls, Tripleseat, floor plans, menus, etc.). Communicate constantly with team members
· Create in house timeline for catering, bar, and event staff
· Update BEO with timeline, and note special considerations (allergies) and specific requests for catering staff in special notes
· Assist client with assigned seating (receive alphabetical list from client with table assignments)
· Complete event reports
· Request event reviews
· Collect gallery links from photographers
· Provide contributions to the marketing strategy of Briscoe Manor such as photos, promotional ideas, and customer feedback.
· Connect with Sales and Management on damage deposits
· Jumping in as a valuable team member when unexpected tasks arise
· All Briscoe Manor team members receive cross training with other departments to provide insight into other roles, create coverage for absences, provide better customer service, and to encourage team members to realize their growth potential and become professionally well-rounded
Qualifications
- 3+ Event Management experience dealing with Wedding and Corporate Events
- An exceptional “eye” for detail relating to event execution, and superior hospitality culture
- An effective communicator with excellent written and verbal skills for client, employee, and vendor interactions.
- Knowledge of TripleSeat, AllSeated and Smartsheet software preferred (or similar event software programs).
- Solid planning and project management skills.
- Enthusiasm for managing all types of events.
Compensation & Benefits
- Base salary (commensurate with experience) + annual bonus/profit sharing (based on individual performance and company profit)

Pay: $55,000.00 - $65,000.00 per year
