About the Job:
Our Service Coordinators support a team of Advisors by coordinating detailed, complex investment- and insurance-related administrative processes, preparing materials for client meetings, and making every client feel special. In this role, you will coordinate the team’s overall workload, train and mentor team members, lead process optimization efforts, and take individual responsibility for advanced investment operations activities.
Key responsibilities of this position include the following:
- Coordinate, monitor, drive, and record all investment- and insurance-related administrative processes for the team, balancing work across the team and ensuring that all deadlines are met.
- Act as a resource for team to answer questions and resolve issues.
- Prepare materials in advance of client meetings, coordinating with Service Advisors and delegating tasks to team members.
- Execute investment portfolio changes with Advisor's guidance.
- Handle more advanced activities with Advisor's guidance, including investigation, escalation, and resolution.
- Coordinate and support investment and insurance analysis, strategy, implementation, and service.
- Make recommendations to systematize and improve office efficiencies and lead process improvement projects.
- Communicate regularly with internal departments and strategic partners to ensure service delivery expectations are met.
- Provide exceptional customer service (proactive and reactive) by email, phone, and written correspondence.
- Maintain our Redtail CRM database and follow office protocols regarding shared drives and folders, as well as recordkeeping and filing.
- Provide administrative support including creating attractive, client-facing documents using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Train new Service Coordinators and provide ongoing training to team as needed.
- Perform other duties as assigned.
Our ideal candidate will have the following qualifications:
- At least five years’ experience in wealth management/financial planning, including expertise in investment management concepts, practices, and procedures; insurance administration experience will be helpful
- Leadership or supervisory experience preferred
- Bachelor’s degree in business, finance, or related field, or equivalent additional experience
- Series 7 and Series 63/65 or 66 licenses preferred
- Proficiency in Microsoft Office suite and CRM software; eMoney and Redtail experience preferred
- Strong math, basic accounting, research, and analysis skills
- Professional oral and written communication skills
- Ability to multi-task, prioritize, and manage time effectively and proactively
- Unrelenting attention to detail
- Pragmatic problem solver; ability to anticipate and prevent problems
- Goal oriented, self-motivated, and results driven
- Team player who will pitch in and do what is needed
- Ready to learn and grow
