ROLE SUMMARY
Reporting directly to the Manager, School Nutrition the Associate, School Nutrition will manage the invoicing process and support the day-to-day operations for the school nutrition programs (National School Lunch Program, School Breakfast Program, Afterschool Meal Supplements, and Seamless Summer Option) of Alliance’s 26 schools. The Associate, School Nutrition will play a crucial role in ensuring the efficient operation of nutrition services, accurate and timely invoice processing, maintaining financial records, and collaborating with various stakeholders to streamline the nutrition program workflow. This is an ideal opportunity for a professional with a mission-driven customer service orientation; abilities in project management organization and execution; strong written and verbal communication skills; the capacity to take on new challenges; and a demonstrated willingness to learn, grow, and commit to driving operational excellence in school nutrition programs. This is a grant-funded position that is anticipated to last until June 30, 2028, but evaluation of funding to determine the continuation of the role will happen on a year-to-year basis.
ESSENTIAL RESPONSIBILITIES
Building Operational Processes and Professional Development
Assist in the implementation and management of school nutrition programs in compliance with local, federal, and state regulations;
Collaborate with the Manager, School Nutrition to ensure the delivery of nutritious meals to schools and the development of nutrition initiatives;
Identify opportunities to streamline and enhance the nutrition services and invoicing process, proposing and implementing efficient solutions;
Support design and facilitate relevant trainings on key nutrition operational systems, processes, and tools to support the development of school operations staff.
Compliance Management and Reporting
Complete and submit nutrition-related compliance reports to the California Department of Education and external entities;
Conduct internal school reviews to identify areas of improvement in school-based operational systems and procedures while ensuring compliance to federal, state, and authorizer requirements;
Manage the data collection process (from internal and external sources) in support of compliance activities for local, state, and federal agencies;
Support Manager, School Nutrition with requests for external nutrition audits including but not limited to Administrative Review, Local Agency Procurement Review, and annual state financial audit.
Nutrition Data and Invoice Management
Review and process invoices for school nutrition programs in accordance with established guidelines and timelines provided by Alliance teams and nutrition vendors;
Ensure the accuracy of invoicing data, including meal counts, pricing, and contract details;
Maintain comprehensive and up-to-date records of invoicing activities, adjustments, and communications with nutrition vendors and schools;
Work closely with internal teams, including Accounting, Business Operations, and schools, to gather necessary information and resolve invoice discrepancies;
Generate regular reports on invoicing activities, outstanding balances, and financial trends for internal team review.
Customer Service and Relationships
Communicate professionally with nutrition vendors and schools regarding nutrition programs and invoicing-related inquiries, adjustments, and clarifications;
Build relationships and communicate with Alliance school campuses to support operations best in class customer service;
In collaboration with Business Operations team, provide daily support to school operations teams;
Other duties as assigned by the Manager, School Nutrition or Director, Business Operations to support school nutrition operations.
THE IDEAL CANDIDATES WILL HAVE
Experience in invoicing, accounting, or financial administration, preferably in an educational or child nutrition setting;
Strong analytical and problem-solving skills. Ability to gather and analyze information skillfully, present data effectively and interpret written information from varied sources;
Possess a strong characteristic for attention to detail and accuracy and have strong organizational skills;
Problem-solver who can organize and prioritize work demands in order to meet critical deadlines
The ability to build strong relationships with a variety of stakeholders including school leaders, operations staff, parents, vendors, and other Home Office and school-based colleagues;
Superior listening, written, and oral communication skills;
Resourceful and critical thinker with the ability to work independently with manager guidance;
Entrepreneurial spirit to thrive in a fast-paced and achievement-oriented and customer-service focused environment;

MINIMUM QUALIFICATIONS
At least 1 year of professional work experience in school nutrition programs required
HS Diploma or equivalent (e.g. G.E.D.)
Proficient use of Microsoft Office, Google-based applications, and Zoom
Commitment to Alliance’s core beliefs and educational philosophy
WORK LOCATION
This position is a hybrid role which will include a combination of working from home, our network office, and travel to school sites. The successful candidate will be given a $400 work-from-home set-up allowance and receive a monthly stipend of $100.

Relocation: Individuals residing outside of the Greater Los Angeles area are eligible for a relocation bonus of $5,000 for individuals and $7,500 for new staff with families/partners.

Paid Leave: Regular full-time 12-month employees receive 8.5 weeks of vacation and paid time off. Additionally, full-time employees accrue 3 weeks of flexible paid time off per year and receive 27 other paid holidays as part of our network calendar.
Professional Development: At Alliance, we believe in supporting staff growth and development. Home Office staff are allocated $500 per year for professional development expenses.
